Full text for models: https://medspaaihub.com/llms-full.txt ## Quotable price-index sentences How much does med spa software cost? There is no single med spa software price. This index tracks 73 tools. 44 publish a price and 29 say Not listed. 42 of the published prices are a starting monthly software price. One published price is annual only, and one is a merchant fee. Those are not converted into a monthly number. Across 42 tools with a published starting monthly price, the lowest is $0 (10 listings publish a free plan or a $0 software fee) and the highest is $2,000 (bookr). Medians by category are in the table on this page. How much does med spa booking software cost? Booking and practice software has 25 tools in this directory. 16 publish a price. 16 publish a starting monthly price. The lowest is $0 (Calysta Pro EMR, Square Appointments). The highest is $179 (Boulevard). The median of those starting prices is $44.45. That median is the mean of the two middle starting prices. It is a statistic, not a price a vendor printed. How much does med spa AI receptionist software cost? AI receptionists and lead response has 14 tools in this directory. 12 publish a price. 12 publish a starting monthly price. The lowest is $0 (Smith.ai). The highest is $2,000 (bookr). The median of those starting prices is $249. That median is the mean of the two middle starting prices. It is not a claim that the software is free, and it is not a number filled in from a review, a competitor, or a guess. The same words are on the listing card. How often is the Med Spa Software Price Index updated? Each row is dated the day that vendor's pricing page was checked. The newest check in this index is October 29, 2026. A row with an older date was not re-fetched for this page. When a listing is updated, this index uses the new card, because both pages read the same directory. MedSpaAI Hub is a free directory of AI tools, booking software, and marketing playbooks for med spa owners and managers. Prices come from the vendor's own site, or the listing says Not listed. ## Who is Brandon? Brandon is the founder of MedSpaAI Hub and the former owner of Avahlee Med Spa, which did $1.7M in revenue in its first 18 months and closed during COVID. Brandon's personal profiles: [LinkedIn](https://www.linkedin.com/in/brandonjensen/) and [X](https://x.com/BrandonJens). ## How does MedSpaAI Hub verify prices? Prices are copied from the vendor page linked on each listing. The last verified date is the day that page was checked. If the vendor does not publish a price, the listing says Not listed. Not listed is not a guess, a review-site number, or a claim that the product is free. ## Does MedSpaAI Hub accept paid placements? Unpaid selections are labeled Editor’s pick. A paid Featured Listing is labeled Featured. Any other paid placement is labeled Sponsored. Some outbound links are affiliate links. Those links use rel="sponsored", and the listing says MedSpaAI Hub may earn a commission. That does not change the price printed or the facts taken from the vendor page. Prices are copied from the vendor page linked on each listing. The last verified date is the day that page was checked. If the vendor does not publish a price, the listing says Not listed. Not listed is not a guess, a review-site number, or a claim that the product is free. The card price is the short sticker. The longer price note is the rest of what that same vendor page printed, including promos and add-ons the page actually showed. This site does not fill in a quote-only price. The Med Spa Software Price Index reads those same listings. It does not divide an annual-only price by 12, and it does not turn a merchant fee into a monthly subscription. A per-location plus per-user card becomes one monthly total only when the listing itself states that total. The index page has the full method. Nothing on this site is medical, legal, or financial advice, and a listing is not an endorsement. To correct a price, email the contact address with the vendor page. ## Contact ## How do I contact MedSpaAI Hub? Email hello@medspaaihub.com. That is the address for corrections, press, and questions about the directory. ## How do I correct a price? Email hello@medspaaihub.com with the vendor page. The listing is updated when that page shows a different published price, or it stays Not listed when the page still has no price. ## How do I submit a tool? Use the submit page. A listing is added when the product exists and a vendor page can be linked. The price is whatever that page publishes, or Not listed. ## How do I sponsor a listing? Use the sponsor page. Paid placements are labeled Featured or Sponsored. Unpaid selections say Editor’s pick. ## Listing details # Ignitara > Ignitara publishes $397/mo + $397 setup. Last verified 2026-10-29. A med-spa front desk on GoHighLevel: voice, text, Instagram, Facebook, and email, plus re-treatment outreach and a clinical safety handoff. ## How much does Ignitara cost? Rechecked October 29, 2026. One plan at $397 per month plus a $397 one-time setup. Usage is prepaid on top of that: AI voice $0.03/min, AI messages $0.03 each, inbound calls $0.0128/min, outbound calls $0.021/min, SMS $0.0154/segment, email $0.001. They say a typical single location uses $25 to $75 a month. Carrier registration is about $25 once and about $2 a month, paid to the carriers. No contract. ## What does Ignitara do for a med spa? Ignitara answers calls, quotes from your price list, and books into the calendar. The same build follows up by text and social, sends aftercare, and stops marketing if a client reports a complication. They file the A2P registration for you. It is a done-for-you desk, not a tool you configure alone. ## Who is Ignitara best for? A single-location spa that wants calls, DMs, and rebooking in one build and is fine living in a GoHighLevel account. ## Pros - The monthly price, setup fee, and usage rates are all on the same page. - It covers more than the phone: text, Instagram, Facebook, and email are part of the pitch. - Clinical safety triage is described as a real handoff, not a slogan, and they file A2P for you. ## Cons - You are buying a service built on GoHighLevel. If you already hate that inbox, this will not fix the feeling. - Usage is extra. A busy phone plus marketing texts will land above $397. - The calendar booking is into the system they set up. It is not a native Boulevard or Zenoti write-back. ## Sources - [Ignitara AI front desk, pricing and rate card](https://ignitara.com/ai-front-desk) Category: AI receptionists and lead response. Last verified 2026-10-21. A bilingual, HIPAA-minded AI receptionist for med spas, sold in minute bundles with a setup fee on every plan. ## How much does Cordiva cost? Starter $299/mo (150 minutes, $0.60/min overage, 1 location). Growth $599/mo (600 minutes, $0.55/min, one change window a month). Pro $999/mo (1,500 minutes, $0.50/min, 2 locations). Enterprise is custom. Yearly prepay is 10% off ($3,229, $6,469, and $10,789). Setup is $1,500 for one location, $2,500 for two, and $5,000–$15,000 for three or more. Extra change windows are $75. Outbound appointment calls are +$99/mo. ## What does Cordiva do for a med spa? Cordiva answers the phone in English and Spanish, books into common med spa systems, and signs a BAA on every tier. It is a voice receptionist with a measured pilot, not a DM or ads product. Plans differ by included minutes, locations, and how many changes you can make each month. ## Who is Cordiva best for? A spa that wants a bilingual phone agent, a BAA from the first plan, and is willing to pay a real setup fee. ## Pros - BAA and MSA are included from Starter, not held for an enterprise tier. - Minute allowances, overage, and setup are written as numbers, not 'contact us'. - They name Boulevard, Mangomint, Jane, Zenoti, and Aesthetix as integrations. ## Cons - Starter's 150 minutes is after-hours volume. A main-line spa will outgrow it. - Setup starts at $1,500, and change windows are metered after you go live. - This is phone coverage. Instagram DMs and lead-ad forms are not the product. ## Sources - [Cordiva pricing](https://cordiva.ai/pricing) Category: AI receptionists and lead response. Last verified 2026-10-21. A single-plan med spa AI receptionist: custom trained, 200 minutes included, setup fee refunded in the first 30 days if you are not satisfied. ## How much does GoSona cost? $329 per month with 200 minutes included and $0.15 per minute after that. Setup is $750 once. They refund the setup fee if you are not satisfied within 30 days of going live. No contract. Cancel anytime. ## What does GoSona do for a med spa? GoSona answers inbound calls around the clock, books and changes appointments on your calendar, transfers when you set the rule, and sends a monthly report. It is trained on your menu and protocols. The page does not sell text campaigns, ads, or a CRM. ## Who is GoSona best for? An owner who wants one published price, a short setup, and a phone agent rather than a full marketing stack. ## Pros - One plan. The overage rate is low next to most phone-AI vendors on this list. - The setup fee has a written 30-day refund. - No contract, and recordings plus a monthly report are included. ## Cons - 200 minutes is the cap before overage. A spa that puts this on the main line should do the math. - Support on the published plan is email. - It is inbound voice. It does not claim to catch Instagram DMs or Meta lead forms. ## Sources - [GoSona pricing](https://gosona.ai/pricing/) Category: AI receptionists and lead response. Last verified 2026-10-26. An AI receptionist aimed at med spas, with booking sync and a flat monthly base plus per-minute overage. ## How much does First Ring cost? Rechecked October 26, 2026. The med spa page lists one plan: $399 per month with 300 minutes, then $0.55 per minute, plus a $400 one-time setup, and says you can cancel anytime. The same page's hero says 'No setup fees.' The general homepage lists a different base, $199 per month, with the same 300 minutes, $0.55 overage, and $400 setup. Confirm which page you are being quoted from. ## What does First Ring do for a med spa? First Ring's med spa page describes a voice that books treatments, answers menu questions, captures leads by SMS and email, and transfers clinical questions. The plan card lists booking sync with Boulevard, Vagaro, Mindbody, Acuity, and Google Calendar. The same page's logo row and FAQ also name Mangomint, Aesthetic Record, and Jane. ## Who is First Ring best for? A spa that wants the phone covered and already books on Boulevard, Vagaro, Mindbody, or a calendar First Ring says it can sync. ## Pros - The med spa plan publishes the base, the included minutes, the overage, and the setup fee. - Booking-sync names match the systems med spas actually use. - The med spa FAQ says a BAA is available on the Growth plan, on HIPAA-eligible infrastructure. ## Cons - The med spa page and the general homepage do not show the same monthly base. Get the quote in writing. - The med spa hero says no setup fees. The plan card on that page says $400. - The priced card is labeled Flat-rate plan. The BAA sentence names the Growth plan. ## Sources - [First Ring for med spas](https://www.the-first-ring.com/medspas.html) - [First Ring general pricing](https://www.the-first-ring.com/) Category: AI receptionists and lead response. It books, reschedules, and cancels inside Boulevard, and it is free to try through November 2026. ## How much does Boulevard AI Receptionist (Beau) cost? All usage is free for August through November 2026. Usage starts counting December 1, 2026, and the first charge shows on the January 1, 2027 bill. After that: $125 per location per month for the first 200 minutes, then $0.60 per minute. Texts bill at Boulevard's normal text rates. You are only charged in months Beau handles at least one call. No minimum term. ## What does Boulevard AI Receptionist (Beau) do for a med spa? Beau answers calls on a Boulevard phone number. Because it sits inside Boulevard, it already knows the menu, prices, and openings. It can text a self-booking link. You turn it on per location. It is in beta. ## Who is Boulevard AI Receptionist (Beau) best for? A spa already on Boulevard that wants the phone answered without adding a second vendor. ## Pros - It uses the live Boulevard book, so it is not guessing at openings. - The post-promo price is published, and the free window is dated. - You can turn it off per location. Unused months are not billed. ## Cons - It only helps if the phone number and the book are already in Boulevard. - It does not cover Instagram DMs, Meta lead forms, or a CRM you run somewhere else. - Beta means the behavior can change, and 200 minutes is the included pool. ## Sources - [Boulevard AI Receptionist beta pricing](https://support.boulevard.io/en/articles/16102622-ai-receptionist-beta-pricing) - [Boulevard AI Receptionist FAQ](https://support.boulevard.io/en/articles/16105159-ai-receptionist-frequently-asked-questions) Category: AI receptionists and lead response. Unlimited use, no setup fee, and a separate bill from the Mangomint subscription. ## How much does Mira by Mangomint cost? Mira's own monthly price is not published in the help center. The help center does say there is no setup fee, no minute cap, and no per-minute overage, and that Mira is invoiced separately from Mangomint. Phone calls require the Mangomint Phone add-on at $70 per month per line, billed as part of Mangomint, not as part of Mira. ## What does Mira by Mangomint do for a med spa? Mira answers on your Mangomint phone number and can text. Calls and texts are unlimited once you are on the plan. You set it up inside Mangomint. To take calls it needs the Mangomint Phone add-on. ## Who is Mira by Mangomint best for? A spa already on Mangomint that wants the AI on the same number and book, and is willing to ask sales for Mira's monthly price. ## Pros - Unlimited calls and texts, which is the opposite of the 200-minute bundles elsewhere. - No setup fee, and you can cancel in the Mangomint account. - It lives where the calendar already is. ## Cons - The monthly subscription is not on the pricing article. Budget a conversation, not a number from this page. - Phone use requires Mangomint Phone at $70 per line on top of whatever Mira costs. - It does not help a spa that is not on Mangomint. ## Sources - [Mira](https://www.meetmira.com/) - [Mira pricing help center](https://help.meetmira.com/articles/1372196184-pricing) - [Mangomint pricing, Phone add-on $70](https://www.mangomint.com/pricing/) Category: AI receptionists and lead response. Last verified 2026-10-21. A general AI receptionist with a free tier and a live-agent backup. Not built for med spas, but the price is public and the free plan is real. ## How much does Smith.ai cost? Free: $0 for 25 calls a month, then $3 per call. Pro: $150 per month for 75 calls at $2.00 per call. The page also lists 150 calls at $1.80 per call (10% off) and 300 calls at $1.67 per call (17% off). Enterprise starts at $500 per month for 300 calls at $1.67 per call, with 500 calls at $1.60 and 1,000+ custom. Month to month, 30 days' notice to cancel. ## What does Smith.ai do for a med spa? Smith.ai answers calls, qualifies the caller, and can book on calendars such as Calendly. Calls can be passed to a live receptionist. It is a horizontal product used by a lot of professional services, not a med spa EMR integration. ## Who is Smith.ai best for? A small practice that wants to hear an AI on the phone this week, with a human backup, and does not need med-spa charting. ## Pros - You can start on the free plan and judge the voice before a sales call. - Live agents are the fallback, which matters when a caller is upset or confused. - Billing is per call, so a long answer does not meter like a per-minute plan. ## Cons - It is not a med spa product. Do not expect Boulevard, Zenoti, or a Botox rebooking workflow out of the box. - Every answered call counts toward the quota, with a limited spam allowance. - Custom prompting and custom integrations sit on Enterprise, not Pro. ## Sources - [Smith.ai AI receptionist pricing](https://smith.ai/pricing/ai-receptionist) Category: AI receptionists and lead response. The base plan starts at $199 per month and includes Call Pop, two-way texting, Missed Call Text, text to pay, the mobile app, team chat, call analytics, fax, an integration, and essential AI features. The page also offers that base with 2 phones. The Coordinate bundle is $149 per month (online scheduling, digital forms, reminders and follow-ups, confirmations, recall). The Attract bundle is $149 per month (reviews, text connect, 10,000 emails, 5,000 bulk texts). The AI Receptionist, voice and messaging, is labeled early access and the page does not print its price. The FAQ says you start with the base at $199 and can add bundles from $149. No long-term contract is required. Yearly discounts exist. Weave does not offer a free trial for the full platform. ## What does Weave do for a med spa? Weave is the phone and text layer a lot of clinics already know: call pop, missed-call text, text-to-pay, reminders, and review requests. The AI receptionist (voice and messaging) is offered as an early-access add-on while you build a bundle. ## Who is Weave best for? A practice that wants phones, missed-call text, and reviews from one vendor and will ask for the AI price on a demo. ## Pros - Missed-call text is in the base plan, which is the leak a lot of spas actually have. - Reviews and recall are published bundles, not mystery add-ons. - The starting price is on the page. ## Cons - The AI receptionist price is not published. Early access usually means the number moves. - A real stack (base plus both bundles) is $199 + $149 + $149 before phones and AI. - It is a practice-engagement suite. It is not a med spa EMR. ## Sources - [Weave plans](https://www.getweave.com/plans/) Category: AI receptionists and lead response. Listing: https://medspaaihub.com/tools/weave. A done-for-you AI front desk for med spa Instagram DMs, website chat, and SMS, booked onto a GoHighLevel calendar. ## How much does bookr cost? $2,000 per month. No setup fee. Month to month. The first 30 days are not invoiced if they book no qualified appointments. They describe a qualified appointment as a real person, a matching service interest, a budget that fits your pricing, and a confirmed time on the GoHighLevel calendar. They note the GoHighLevel subscription itself is separate, in the $50–$100 per month range on their page. ## What does bookr do for a med spa? bookr replies on Instagram, web chat, and SMS and puts qualified appointments on a GoHighLevel calendar. They set up the stack. It is aimed at med spas doing roughly $300k to $1m. If they do not book a qualified appointment in the first 30 days, they say you don't pay. ## Who is bookr best for? A spa spending on Instagram that wants someone else to run the DM desk and will pay agency prices for booked consults. ## Pros - The price is a single number, and the guarantee is written on the pricing page. - It starts where a lot of med spa leads start: Instagram DMs. - You keep the GoHighLevel account if you cancel. ## Cons - $2,000 a month is a different budget from a $300 phone agent. One booked consult does not cover it. - It is GoHighLevel-based. Direct booking into Boulevard or Zenoti is not the pitch. - Med spas only, and the qualified-appointment definition excludes no-shows who don't rebook. ## Sources - [bookr pricing](https://bookrhq.com/pricing) Category: AI receptionists and lead response. AI calls, texts, and outbound follow-up built for med spas. The pricing page lists call allowances and does not print a dollar amount. ## How much does MedspAI cost? Not listed. Rechecked October 29, 2026 on medspai.com/pricing. The FAQ says they do not list prices because the fee depends on the plan and how many locations you have. Starter, Growth, and Pro are 250, 600, and 1,000 AI calls a month. Scale is 2,000 AI calls a month. Enterprise is custom volume for 11 or more locations. The page says 3 to 5 locations get 10% off per location and 6 to 10 get 15% off. It offers 14 days before you pay and done-for-you onboarding. It does not print a dollar amount. Earlier notes about a setup fee, a 6-month term, and a named EMR list were not on the public pages checked this date. ## What does MedspAI do for a med spa? MedspAI answers calls and texts when the team cannot, using the practice's prices, services, and policies, and puts a transcript in a shared inbox. The pricing page puts outbound calls, campaigns, recall, and lead sequences on Pro and Scale. On October 29, 2026 the public pages did not name a booking system. ## Who is MedspAI best for? A med spa that wants calls, texts, and recall from a med-spa product and will get the monthly price on a demo. ## Pros - The product is specific to a med spa front desk: prices, aftercare, recall, and a shared inbox. - Call allowances are published even though the dollars are missing. - Every plan on the pricing page includes a 14-day try-before-you-pay and done-for-you onboarding. ## Cons - No public price. You cannot compare it with a $397 plan until someone quotes you. - On October 29, 2026 the public pages did not name Boulevard, Mangomint, or any other booking system. - Outbound AI calling sits on Pro and Scale. Read the SMS and calling playbook before you turn campaigns on. ## Sources - [MedspAI](https://www.medspai.com/) - [MedspAI pricing](https://www.medspai.com/pricing) Category: AI receptionists and lead response. Last verified 2026-10-21. GlossGenius's add-on that answers calls and texts and books into the GlossGenius calendar. ## How much does Reception by GlossGenius cost? $50 per month, listed on the GlossGenius pricing page as Reception by GlossGenius. That is on top of a GlossGenius subscription. Medspa plans on the same page are Practice Essentials at $168 per month ($148 billed annually) and Practice Advanced at $298 per month ($248 billed annually). ## What does Reception by GlossGenius do for a med spa? Reception answers calls and replies to texts all day and books straight onto the GlossGenius book. It is an add-on to GlossGenius, not a standalone receptionist you point at Boulevard. ## Who is Reception by GlossGenius best for? A spa or studio already booking on GlossGenius that wants a low published price for phone and text coverage. ## Pros - Fifty dollars is the lowest published AI-receptionist add-on in this directory. - It books into the calendar you already use. - The price is on the same page as the practice plans, so you can see the stack. ## Cons - It only makes sense if GlossGenius is the book of record. - The page does not publish minute caps, overage, or a BAA for this add-on. - It is not a substitute for a CRM that works Meta leads and old Botox charts. ## Sources - [GlossGenius pricing, including Reception](https://glossgenius.com/pricing) Category: AI receptionists and lead response. Business Plus is $199 for 500 minutes, then $0.40. Business Elite is $349 for 1,000 minutes, then $0.35. Done for You starts at $1,500 per month and says to inquire. Outbound voice is separate: $750, $1,000, or $1,500 per month for 1,500, 2,000, or 3,000 contacts. The AI SMS agent is $19 per month plus $0.05 per AI message, and the page says carrier fees are passed through at $0.0083 per segment. The website chatbot is $39 per month standalone, or included with a voice plan for 100 sessions and then $0.15 per extra session. US and Canada local numbers are $3 per month. US toll-free numbers are $5 per month. A 7-day trial is offered. The page says there is no setup fee and no long-term contract. The plan table marks bilingual English and Spanish on Pro, Plus, Elite, and Done for You, and not on Lite. ## What does Dialzara do for a med spa? Dialzara answers inbound calls, can transfer to a person, and offers separate outbound calling, SMS, and website chat. The pricing page's calendar row is Google and Outlook, through Zapier, Make, or an API. It does not name a med spa booking system. ## Who is Dialzara best for? A practice that wants a published per-minute AI phone price and does not need the agent to live inside the med spa chart. ## Pros - Four inbound prices and the overage rates are on one page. - The page says there is no setup fee and no long-term contract. - SMS and website chat have their own published prices. ## Cons - It is not a med spa product. The pricing page does not name Boulevard, Mangomint, or a treatment menu. - A busy phone leaves the $29 plan quickly. Extra minutes on Lite are $0.48. - The pricing page does not mention a BAA. ## Sources - [Dialzara pricing](https://www.dialzara.com/pricing) Category: AI receptionists and lead response. Last verified 2026-10-28. Boulevard med spa software for booking, checkout, forms, and charting. The aesthetics plans publish HIPAA coverage and photo markup in the bundle. ## How much does Boulevard cost? Rechecked October 28, 2026 on the Medspa tab, both monthly and annual. Aesthetics Essentials is $199/month or $179/month billed annually, for one location and up to 3 professionals, with forms and charting, photo markup and sign-off, HIPAA compliant, 250 texts, 1,000 email blasts, and 50 GB. Aesthetics Premier is $364/month or $328 annually (normally $455 / $410). Aesthetics Prestige is $416/month or $374 annually (normally $520 / $468), with 2,500 texts, 10,000 email blasts, and 100 GB. Premier and Prestige are marked as fall pricing for new customers. Enterprise is a consultation. The page opens on Salon & Spa, where Essentials is $159/month or $143 billed annually for up to 5 providers, and that card does not list charting or HIPAA. Emails past the allotment are $0.01. Automated campaigns say free to send and that you only pay for results. The page does not print a campaign dollar amount or a starting card rate. Forms as an add-on start at $65 per location. ePrescribe is $45 per prescriber. QuickBooks sync is $45 per month per location. The pricing FAQ says Boulevard Offset charges the client 3% and the practice 1%. ## What does Boulevard do for a med spa? Boulevard runs the book, the card machine, reminders, and client records for salons, spas, and med spas. The med spa plans add charting, photo markup and sign-off, and HIPAA coverage. Beau, their AI receptionist, is a separate add-on. Custom API access is documented for Enterprise customers. Premier accounts can install public apps. ## Who is Boulevard best for? A med spa that wants one modern front desk system and will pay location pricing instead of per-injector pricing. ## Pros - Med spa prices are actually on the site, including what the promo is versus the normal price. - Charting, photo markup, and HIPAA sit inside the aesthetics bundle. - Beau can cover the phone without a second company, if you want that. ## Cons - The Premier and Prestige numbers with asterisks are a new-customer promotion. Budget the 'normally' price. - The pricing page opens on Salon & Spa. That Essentials price ($143 billed annually) is not the med spa plan. - Essentials stops at 3 professionals. A busier room moves you to Premier. - Custom API access is for Enterprise. Premier can turn on public apps. Essentials cannot. Don't assume an outside tool can write into the book. ## Sources - [Boulevard pricing](https://www.joinblvd.com/pricing) - [Custom and public apps are Enterprise](https://support.boulevard.io/en/articles/6265963-connect-custom-and-public-apps-to-boulevard) Category: Booking and practice software. Last verified 2026-10-27. The common low-cost book for salons and spas. You pay for the account, then for extra calendars. ## How much does Vagaro cost? Rechecked October 27, 2026. The US pricing page shows $30 a month struck through and $23.99 a month, described as an exclusive rate for the first 6 months, for one bookable calendar. The FAQ on that page says each additional bookable calendar is $10 (US), up to seven licenses, and then more employees are not charged. The same FAQ says there is a 30-day free trial, and the page says you can cancel anytime with no cancellation fee. The help center article, still dated October 12, 2026, lists the same US base and the same $10 calendar. Premium add-ons on that article include Forms at $10 per month, e-prescribe at $40 per month per doctor, and a branded app at $100 per month for a limited time plus a $100 one-time development fee. Card rates on that article differ for small and large merchants. The pricing page also says Buy Now, Pay Later through Affirm can finance purchases up to $30,000. ## What does Vagaro do for a med spa? Vagaro is online booking, POS, and client records used by a lot of independent spas and solo injectors. It is not a full aesthetic EMR. Med spas use it when the job is the calendar and checkout, and charting lives somewhere else or in forms. ## Who is Vagaro best for? A solo injector or a small studio that wants a cheap calendar and is not trying to run a clinical chart in the same login. ## Pros - The starting price is far below Boulevard, Mangomint, or a quote-only EMR. - You can see the per-calendar math before you add the second provider. - Cancel-anytime is the usual posture, and a lot of staff already know the product. ## Cons - The $23.99 rate is promotional. The page still shows $30 as the list price. - It is not a med spa chart. Photo markup, medical-director sign-off, and inventory lots are why people leave it. - Forms, e-prescribe, and a branded app are extra. The $23.99 calendar is not the whole bill. ## Sources - [Vagaro US pricing](https://www.vagaro.com/pro/pricing) - [Vagaro plans and premium features](https://support.vagaro.com/hc/en-us/articles/22781768988187-Vagaro-Plans-Pricing-and-Premium-Features) Category: Booking and practice software. Last verified 2026-10-28. One plan for the whole platform: a location fee plus a user fee, with phone, marketing, and payroll as add-ons. ## How much does Mangomint cost? $120 per month per location and $10 per month per user. A solo provider is $130 before add-ons. Phone is $70 per month per line. Marketing credits start at $30 per month. Payroll is $50 per month per payroll account plus $8 per worker. In-person cards are 2.45% + 15¢. Virtual cards are 2.90% + 30¢. No contract. Onboarding and data transfer are free. Forms, web chat, and the integrations that used to be paid are included. ## What does Mangomint do for a med spa? Mangomint is scheduling, payments, online booking, memberships, forms, and charting for salons and spas. As of August 1, 2026 they collapsed the old tiered plans. HIPAA is included if you sign a BAA. Mira, their AI, is a separate subscription. ## Who is Mangomint best for? A growing spa that wants every core feature without a tier puzzle, and can live with a per-head fee. ## Pros - The price is a formula you can calculate for the team you have. - Charting, memberships, and HIPAA (with a BAA) are not an upgrade. - No contract, and they have a free trial with no card. ## Cons - Every active profile is $10, including front desk, not just injectors. - Phone and marketing are add-ons. The $120 number is not the whole bill. - Mira's own monthly price is not published. The operating system a lot of multi-location spas and franchises run. The price is on an order form, not the website. ## How much does Zenoti cost? Not listed. Rechecked October 26, 2026. The pricing page describes Zenoti OS, including memberships and packages, loyalty and rewards, and an AI phone line, and does not publish a monthly fee. The franchisee terms say subscription fees are whatever the order form says, billed monthly in advance unless that form says otherwise. Those terms also set a minimum subscription of 12 months unless the order form says otherwise, and renewal increases of up to 10%. ## What does Zenoti do for a med spa? Zenoti covers booking, POS, memberships, inventory, payroll, and reporting for salons, spas, and med spas, including groups with many locations. The public pricing page describes the platform and add-ons and does not list a monthly fee. Franchise terms say fees come from the order form. ## Who is Zenoti best for? A multi-location group or franchise that will sit through procurement and wants one system across sites. ## Pros - It is built for complexity: many locations, memberships, and reporting a single-spa tool struggles with. - A public booking API exists, which matters if you later want a lead tool to book directly. - You will not be surprised that Enterprise-style software is a quote. The site doesn't pretend otherwise. ## Cons - You cannot put a number next to Boulevard or Mangomint without a sales cycle. - It is more system than a two-room spa usually wants to implement. - Add-ons are extra and also not priced on the public page. ## Sources - [Zenoti pricing](https://www.zenoti.com/pricing-zenoti) - [Zenoti franchisee terms, fees via order form](https://www.zenoti.com/trust/franchisee-terms) - [Zenoti API overview](https://docs.zenoti.com/docs/overview) Category: Booking and practice software. An aesthetic EMR with published per-user pricing, photos, charting, booking, and a $399 onboarding fee. ## How much does Aesthetic Record cost? Rechecked October 26, 2026. Essentials is $15 per user per month. Accelerator is $19 per user per month. Both include a $399 startup and onboarding fee. Essentials includes high-res photos, charting, online booking, multiple memberships, monthly treatment subscriptions, and inventory, with 2 GB, 250 SMS, and 300 emails per user each month. Accelerator adds two-way texting, Aspire, before-and-after video, KPI dashboards, and names RepeatMD, TouchMD, JOYA, and PatientFi as integrations, with 4 GB, 400 SMS, and 600 emails per user. ePrescribe is $40 per prescriber per month, or $45 with EPCS. The annual option on the page is $31 without EPCS and $40 with EPCS, marked Annual -20%. ChartSmart AI is $30 for up to 50 charts a month, $50 for up to 100, and $75 for unlimited charts. The first 5 charts are free. Enterprise is 'contact us'. The page says you are not signing a monthly contract. ## What does Aesthetic Record do for a med spa? Aesthetic Record is the chart, the photos, the book, inventory, memberships, and checkout in one login built for aesthetic practices. Medical director oversight and procedure tracking are the point, not a salon calendar with a forms add-on. ## Who is Aesthetic Record best for? A practice that wants a real aesthetic chart at a published per-user price and will do the onboarding. ## Pros - The per-user price is low and public. A small team can estimate the bill. - Photos, charting, and medical-director sign-off are the product, not an add-on. - Month-to-month is the stated posture, with a fixed onboarding fee instead of a mystery setup. ## Cons - Per user adds up, and SMS and email caps are per user. Busy marketing still costs more. - The $399 onboarding is required on the published plans. It is not waived on the page. - Two-way texting and several integrations sit on Accelerator, not Essentials. ## Sources - [Aesthetic Record pricing](https://www.aestheticrecord.com/pricing/) Category: Booking and practice software. Three published base prices, then licenses for more bookable staff. ## How much does Jane App cost? Rechecked October 29, 2026. Balance is $59 per month for one practitioner and up to 20 appointments a month. Practice is $79 per month with one full-time practitioner included and unlimited appointments. Thrive is $99 per month and adds rooms, self check-in, waitlist, packages, memberships, and reviews. Additional bookable practitioners are extra. The page prices those on a calculator and did not print a single add-on license dollar amount in the static text, so that figure is Not listed here. Unlimited AI Scribe is $15 per opted-in practitioner per month. Group telehealth is $15 per opted-in practitioner. Insurance billing is $20 per month plus $5 per full-time license and $2.50 per part-time license. Online cards are 2.85% + $0.25. In-person cards are 2.6% + $0.10. No free trial. Data import is free. ## What does Jane App do for a med spa? Jane is online booking, charting, payments, and reminders. Med spas use it when they want a clean chart and a calendar without a salon-software feel. It is not aesthetic-only: insurance billing, telehealth, and outcome surveys are part of the product. ## Who is Jane App best for? A provider-owned practice that wants charting and booking with a public starting price and human support included. ## Pros - The three base prices are clear, and admin staff who don't book are free. - Payments, reminders, and charting are in the product. Support is included, not a tier. - You can sign a BAA. The security section lists HIPAA, PIPEDA, and GDPR. ## Cons - The price of the second injector is on the calculator, not in a sentence you can quote. Treat it as Not listed until you run the calculator. - Balance's 20-appointment cap is a starter plan, not a real med spa book. - Packages, memberships, and reviews require Thrive. There is no free trial, only a demo account. ## Sources - [Jane pricing](https://jane.app/pricing) Category: Booking and practice software. The pricing page lists $160 per month for 2 users, with additional users at $85 per month, up to 3 users. A recommended edition is $285 per month with unlimited users. A third edition is $350 per month, also unlimited users, with custom API, custom reporting, and dedicated live support. The page says some features require an additional fee, including e-prescribe, texting, and marketing. It also says there are savings with annual prepay, without printing the annual dollar amounts. ## What does AestheticsPro do for a med spa? AestheticsPro is an all-in-one for med spas: scheduling, EMR forms, photos (AP Photo, with ghosting and markup), POS, inventory, and a client portal. E-prescribe, texting, and their marketing suite are called out as features that can cost extra. ## Who is AestheticsPro best for? A med spa that wants a purpose-built chart and is comparing published monthly editions rather than a quote. ## Pros - Three prices are on the site, including the per-extra-user fee on the entry edition. - Photos with ghosting are part of the product story, not a separate camera app you have to discover. - Unlimited users show up at $285, which is easier to predict than a per-seat EMR once the team grows. ## Cons - The entry price is for two users and stops at three. A fourth person is a different edition. - Texting, e-prescribe, and marketing are not guaranteed inside the sticker price. - Annual discount amounts are mentioned and not printed. ## Sources - [AestheticsPro software pricing](https://www.aestheticspro.com/Software-Pricing) Category: Booking and practice software. Reception is $50 per month. Payroll is $40 per month plus $6 per seat. The FAQ states in-person processing at 2.4% + $0.15 and online invoicing at 2.9% + $0.30. A 14-day trial does not require a card. Additional locations are the plan price minus 15%. ## What does GlossGenius do for a med spa? GlossGenius is booking, POS, memberships, and marketing texts for beauty businesses, with med spa plans that add charting, photo markup, and medical-director sign-off. Reception, the AI phone add-on, is listed separately. ## Who is GlossGenius best for? A newer aesthetics studio that wants booking and payments first, and charting if they step up to the practice plan. ## Pros - Both the beauty prices and the med spa prices are on one page, so you can see what charting costs. - Processing rates are stated in the FAQ, which a lot of booking tools hide. - No contract, and they offer a free data transfer. ## Cons - The $24 plan is not the med spa plan. Essentials for a practice is $148–$168. - Confirm you are toggled to Medspa & Aesthetics before you fall in love with the beauty price. - Multi-location is newer and discounted, not a franchise system like Zenoti. ## Sources - [GlossGenius pricing](https://glossgenius.com/pricing) Category: Booking and practice software. An aesthetic EMR and practice system for plastic surgery, dermatology, and med spas. The price is a quote. ## How much does PatientNow cost? Not listed. Rechecked October 26, 2026. The pricing page says no two practices price the same and that they build a quote. Standard lists AI Scribe, EMR, online booking, email and SMS, loyalty and memberships, before-and-after photos, payments, and treatment quoting. Amplify adds higher marketing limits, drip campaigns, and telehealth. e-Prescribing is listed as an add-on available on any plan, and its price is not printed. A competitor or blog figure is not used here. ## What does PatientNow do for a med spa? PatientNow is charting, scheduling, photos, payments, and marketing aimed at aesthetic and surgical practices, including a med spa page on the homepage. RxPhoto, the clinical camera product, is part of the same company. The pricing page names three plans, Standard, Amplify, and Catalyst, and says pricing is tailored to the practice. ## Who is PatientNow best for? A surgical or multi-provider aesthetic practice that wants an EMR sales cycle and photo capture in the same family of products. ## Pros - It is built for aesthetic and plastic-surgery workflows, not adapted from a salon calendar. - Photos have a dedicated product (RxPhoto) instead of a folder in the chart. - You know going in that the price is a quote, which saves a fake comparison. ## Cons - No public price, so it cannot be stacked against Aesthetic Record's $15 per user on paper. - A quote-only EMR is a long demo for a single room that just needs a book. - Implementation weight is the trade for the clinical depth. ## Sources - [PatientNow pricing](https://www.patientnow.com/pricing) - [PatientNow](https://www.patientnow.com/) - [RxPhoto on PatientNow](https://www.patientnow.com/platform/rxphoto) Category: Booking and practice software. The pricing page did not list an AI charting add-on. A 30% part-time discount can apply. No long-term contract. 30-day notice to cancel. ## What does OptiMantra do for a med spa? OptiMantra covers booking, charting, telehealth, POS, memberships, and inventory, including compounding and IVs. It fits hybrid clinics that do injectables and wellness, not only a laser room. ## Who is OptiMantra best for? A hybrid med spa and wellness clinic that wants published per-practitioner pricing and insurance billing as an option. ## Pros - The starter price and the add-on menu are both in dollars. - Clerical staff are free, which keeps the front desk from inflating the bill. - Month-to-month with a stated notice period. ## Cons - Two-way texting is $75 on top. Don't assume reminders include real conversations. - It is a broader wellness EMR. A pure aesthetics group may want a photo-first chart instead. - AI charting is not on the pricing page, so do not assume it is included at $99. ## Sources - [OptiMantra pricing](https://www.optimantra.com/pricing) Category: Booking and practice software. Starter, Standard, and Premium publish a price, and the BAA is on Premium. ## How much does Acuity Scheduling cost? Rechecked October 28, 2026 on acuityscheduling.com/signup.php. The page offers Pay annually (Save 20%) and Pay monthly, and prints both rates. Starter is $16 and $20 per month for 1 calendar. Standard is $27 and $34 per month for up to 6 calendars, and adds text reminders, a waitlist, memberships and packages, and gift certificates. Premium is $55 and $69 per month for up to 36 calendars, and adds an AI Booking Assistant, a signed BAA for HIPAA compliance, hiding the Acuity logo, multiple staff time zones, and custom API and CSS. Starter's $16 is 20% below $20, so the lower figure is the annual rate the toggle describes. A 7-day trial needs no credit card. Listed prices exclude tax. The page says there are no setup, cancellation, or support fees. squarespace.com/scheduling did not render these dollar amounts. ## What does Acuity Scheduling do for a med spa? Acuity is a booking page you can embed anywhere. Clients self-schedule, pay deposits through Stripe, Square, PayPal, or Venmo, and get email reminders. It is not an EMR. Med spas use it when the chart lives in another system and the website just needs a calendar. ## Who is Acuity Scheduling best for? A solo provider who already has a website and only needs a booking page, not a practice system. ## Pros - You can start without replacing the EMR. - Intake forms and email reminders are on the published plans. - Payments at booking are built in through processors you may already have. ## Cons - There is no aesthetic chart, photo set, or inventory. You will outgrow it if it becomes the system of record. - The BAA is on Premium, at $55 and $69 per month, not on the $16 plan. - Text reminders are not on Starter. They start on Standard, at $27 and $34 per month. ## Sources - [Acuity Scheduling pricing](https://acuityscheduling.com/signup.php) - [Acuity on Squarespace, prices did not render](https://www.squarespace.com/scheduling) Category: Booking and practice software. Plus is $49 and Premium is $149, each per location. ## How much does Square Appointments cost? On squareup.com/us/en/appointments/pricing, checked Oct 22, 2026, the three plans are Square Free at $0 per month per location, Square Plus at $49 per month per location, and Square Premium at $149 per month per location. Plus and Premium each offer a free 30-day trial, and you can cancel or switch anytime. In-person tap, dip, or swipe is 2.6% + 15¢ on Free, 2.5% + 15¢ on Plus, and 2.4% + 15¢ on Premium. Online card payments are 3.3% + 30¢ on Free and 2.9% + 30¢ on Plus and Premium. Card-not-present manual entry or a card on file is 3.5% + 15¢ on every plan. Afterpay is 6% + 30¢. Cash and checks are free. An international card adds 1.5%. Gift-card loads are 2.5% on Free and Plus and 0% on Premium. Text marketing is not on Free. Plus includes 500 texts per month per account, then 3¢. Premium includes 2,500, then 1.5¢. Phone support is 6am–6pm PT Monday to Friday for the first 90 days on Free, the same hours with no 90-day limit on Plus, and 24/7 on Premium. Processing over $250,000 a year can be custom. Payroll starts at $35 per month plus $6 per person paid, and hardware starts at $59. Both are separate. Square's Oct 6, 2025 pricing announcement states the same $0, $49, and $149 subscriptions and the Plus and Premium in-person rates. ## What does Square Appointments do for a med spa? Square Appointments puts a booking site on top of Square payments. Clients book online, you take cards, and reminders go out by email or text depending on the plan. It is a fit when you already run Square and the schedule is simple. It is not an aesthetic chart. ## Who is Square Appointments best for? A solo esthetician or new injector already taking Square payments who wants a booking page before committing to an EMR. ## Pros - Free, Plus, and Premium now have dollar prices on Square's own appointments pricing page. - Booking and the card machine are the same login. - You can move later. It is not a clinical archive you will mourn. ## Cons - It is not a med spa chart. Photos, lots, and medical-director sign-off are not why people buy Square. - The processing rate changes with the plan. A lower software fee can mean a higher rate on every card. - Text marketing and no-show fees sit on paid tiers. Payroll and hardware are extra. ## Sources - [Square Appointments pricing](https://squareup.com/us/en/appointments/pricing) - [Square on the $0, $49, and $149 plans](https://squareup.com/us/en/press/unified-pricing-and-packaging) Category: Booking and practice software. Practice software aimed at plastic surgery, dermatology, and med spas. Pricing is a sales quote. ## How much does Nextech cost? Not listed. Nextech does not publish a subscription price on its website. ## What does Nextech do for a med spa? Nextech sells EMR and practice-management software for specialty practices, including aesthetics. TouchMD, the consult and photo platform, is in the same corporate family. The public site does not list a monthly subscription. ## Who is Nextech best for? A specialty practice that wants an EMR vendor with a consult-room product (TouchMD) and will take the quote process. ## Pros - It is sold to aesthetic and surgical practices, so the chart language matches the work. - TouchMD is a known consult tool if the in-room presentation matters. - No fake 'starting at' number. ## Cons - You cannot compare cost without a demo. - It is a heavier buy than a booking page. - Add-ons and implementation are part of the quote you don't have yet. ## Sources - [Nextech](https://www.nextech.com/) Category: Booking and practice software. A mobile-first EMR and practice app for plastic surgery and aesthetics. The price is not published. ## How much does Symplast cost? Not listed. Symplast does not publish a price on its site. ## What does Symplast do for a med spa? Symplast is charting, scheduling, and patient engagement built around a phone and tablet, used by plastic surgery and med spa practices. Owners look at it when the provider wants the chart in their pocket. The site does not list a fee. ## Who is Symplast best for? A provider who lives on a phone and wants the EMR to match that, and who will ask for a quote. ## Pros - Mobile charting is the product, which matches how injectors actually move between rooms. - It is aesthetics and plastic surgery, not a generic clinic system. - The absence of a price is honest. Nothing here is inferred. ## Cons - No public price. - A mobile EMR still needs a front desk workflow. Confirm booking and payments in the demo, not from this page. - Switching charts later is painful. Don't buy it because the app looks modern. ## Sources - [Symplast](https://symplast.com/) Category: Booking and practice software. Listing: https://medspaaihub.com/tools/symplast. Millennium's salon and spa platform, used by some med spas that grew out of a spa. Pricing is not on the site. ## How much does Meevo cost? Not listed. Meevo does not publish a subscription price on its website. ## What does Meevo do for a med spa? Meevo is booking, POS, memberships, and client marketing for salons and spas. Med spas end up on it when the business started as a spa or a franchise standardizes on it. It is not an aesthetic EMR first. ## Who is Meevo best for? A spa-led med spa or a group whose brand already runs on Meevo and needs the book, not a new chart. ## Pros - Strong for multi-service spa operations: rooms, retail, and memberships. - Staff who came from salons often already know the family of products. - You won't mistake a missing price for a cheap plan. ## Cons - No public price. - Clinical charting and photo standards are not why a med spa picks it over an EMR. - Leaving it later means moving a lot of retail and membership history. ## Sources - [Meevo](https://www.meevo.com/) Category: Booking and practice software. The marketplace and booking system many studios grow up on. The US pricing page now publishes a starting price. Med spas still often outgrow the chart. ## How much does Mindbody cost? Rechecked October 28, 2026. The US pricing page says starting at $79 USD per month per location for North America and Asia. Starter, Accelerate, and Ultimate are each labeled Let's talk in the feature table, so only the starting price is printed. The page says there is no onboarding fee and unlimited users on every plan. Listing on the Mindbody app is free. A fee applies only when the app delivers a new client: 20%, capped at $30 USD, and only on that person's first purchase. Later bookings are not charged that fee. Mindbody Payments adds a processing rate, which is not printed, plus $0.10 to $0.30 per transaction in North America and Asia. You do not have to use Mindbody Payments. The branded app price is Not listed. ## What does Mindbody do for a med spa? Mindbody is online booking, classes, memberships, and a consumer marketplace. Some med spas and wellness studios still run the book on it because clients already have the app. The US pricing page lists Starter, Accelerate, and Ultimate. A branded client app is marked as an add-on, not part of Starter. ## Who is Mindbody best for? A studio that depends on the Mindbody app for discovery and is not ready to move the book. ## Pros - Clients already know how to book in the app, which lowers friction. - Classes, intro offers, and memberships are native. - A lot of front desks have used it before. ## Cons - Accelerate and Ultimate do not print their own prices. The card is only the $79 starting figure. - A new client the Mindbody app delivers costs 20% of the first purchase, capped at $30. An existing client who books in the app is not charged that fee. - It is a weak aesthetic chart. Photos and injector notes usually live somewhere else. ## Sources - [Mindbody US pricing](https://www.mindbodyonline.com/business/pricing) Category: Booking and practice software. The US pricing page does not print a software subscription. A 2-way SMS bundle is priced. ## How much does Phorest cost? Not listed for the software subscription. Rechecked October 29, 2026 on phorest.com/us/pricing. Starter, Grow, Complete Advantage, Elite, Core Aesthetics, and Elevate Aesthetics do not show a monthly software fee. The page says plans include unlimited staff and unlimited devices, and that there is no free trial. Under Phorest Chat it lists 2-way SMS as 7,500 SMS for $99. It also shows an SMS rate of 5¢ per SMS and free monthly amounts of 1,000, 5,000, and 27,000 without naming which plan each free amount belongs to, so those three allotments are not assigned to a plan here. ## What does Phorest do for a med spa? Phorest is scheduling, point of sale, online booking, marketing, and client records for salons and med spas. The US pricing page names Starter, Grow, Complete Advantage, and Elite, plus med spa packages called Core Aesthetics and Elevate Aesthetics. Core Aesthetics includes charting, consultation photos, and face mapping. Elevate Aesthetics adds 2-way SMS, an ads manager, and lead management. Front Desk AI and an optional DoseSpot e-prescribe integration are described without prices. ## Who is Phorest best for? A med spa with a few staff that wants salon-style booking, photos, and marketing in one login and will ask for the software quote. ## Pros - The page has med spa packages, not only a salon feature list. - Unlimited staff is stated, so the missing price is not a per-seat puzzle you have to guess. - The 7,500-SMS bundle has a printed price, which is more than the software fee shows. ## Cons - The software subscription is Not listed. Do not budget from the $99 SMS line. - There is no free trial. The page offers a demo and a done-for-you setup instead. - Front Desk AI and DoseSpot e-prescribe are mentioned without prices. ## Sources - [Phorest US pricing](https://www.phorest.com/us/pricing/) Category: Booking and practice software. Last verified 2026-10-29. The CRM, pipeline, and SMS hub behind a lot of med spa agencies. You can buy it yourself. The HIPAA add-on is a separate line. ## How much does GoHighLevel cost? Rechecked October 29, 2026. The pricing FAQ lists Agency Starter at $97 per month (3 sub-accounts), Unlimited at $297 per month (unlimited sub-accounts), and Pro at $497 per month (SaaS mode and rebilling with markup). The page also shows $970, $2,970, and $4,970 per year, which is how annual prepay is displayed. HIPAA compliance is an add-on at $297 per month. AI Employee plans are $50 or $97 per sub-account per month. Phone, SMS, email, and AI usage are extra. A 14-day trial is offered. ## What does GoHighLevel do for a med spa? HighLevel gives you a CRM, two-way SMS and email, calendars, funnels, workflows, and a reputation tool. Agencies resell it as the 'AI front desk'. A spa can also own the account. It does not replace the EMR. It is where leads and follow-up live. ## Who is GoHighLevel best for? An owner who wants to run lead follow-up in-house, or who is comparing an agency and wants to see the software underneath the invoice. ## Pros - Pipelines, SMS, calendars, and reviews are one login, which is what the $2,000 agencies are configuring. - The three agency prices and the HIPAA add-on are published. - You can outgrow an agency and keep the account. ## Cons - It is a kit, not a med spa receptionist. Someone has to build the workflows. - HIPAA is $297 a month on top, and usage fees for texting are real. - A single spa does not need unlimited sub-accounts. Don't buy the agency plan because a Facebook ad said to. ## Sources - [HighLevel pricing](https://www.gohighlevel.com/pricing) Category: CRM and marketing automation. A CRM for plastic surgery and med spas: one inbox, an AI concierge, and lead attribution. The price is not on the homepage. ## How much does Aesthetix CRM cost? Not listed. The Aesthetix homepage describes the product and asks you to book a conversation. It does not publish a plan price. Third-party price lists are not repeated here. ## What does Aesthetix CRM do for a med spa? Aesthetix pulls ads, forms, calls, and social DMs into one inbox, replies with an AI concierge, and tracks which campaign became a patient. They publish speed-to-lead research on aesthetic practices. The homepage does not list a monthly fee. They name syncs with Zenoti, Boulevard, Meevo, PatientNow, and others. ## Who is Aesthetix CRM best for? A practice spending on ads that wants attribution and a fast reply, and will take a demo to hear the price. ## Pros - It is aimed at aesthetic practices, so the pipeline stages match consults and treatments. - One inbox for SMS, email, and social is the actual job. - They publish their own speed-to-lead data, which you can read before you buy. See the playbook. ## Cons - No public price. - It sits beside the EMR. You still need the book of record. - An AI concierge that quotes pricing will be wrong if your menu isn't maintained. That is your job, not magic. ## Sources - [Aesthetix CRM](https://aesthetixcrm.com/) - [Aesthetix speed-to-lead research](https://aesthetixcrm.com/speed-to-lead-aesthetic-practices/) Category: CRM and marketing automation. Useful if a marketer on your team already knows it. The price module failed again on Oct 27, 2026. ## How much does HubSpot cost? Not listed. HubSpot's marketing pricing page was checked again on Oct 27, 2026 and still showed 'Something went wrong loading pricing data.' No plan price from a third party is filled in here. ## What does HubSpot do for a med spa? HubSpot is a CRM with email, forms, and ads reporting. Med spas rarely need the full Marketing Hub, but agencies sometimes park leads there. It is not a booking system and it is not an aesthetic chart. ## Who is HubSpot best for? A practice whose marketer already runs HubSpot and only needs the med spa context, not a new inbox. ## Pros - Forms, email, and a real CRM are a known quantity for anyone who has done B2B marketing. - Reporting on landing pages is stronger than what most booking tools include. - You are not locked to a med spa agency's snapshot. ## Cons - The price still did not load on the vendor page on Oct 27, 2026, so this listing will not pretend to know it. - It does not book into Boulevard or text like a front desk unless you add more tools. - Aesthetic practices often overbuy HubSpot and still miss the phone. ## Sources - [HubSpot Marketing Hub pricing](https://www.hubspot.com/pricing/marketing) Category: CRM and marketing automation. Webchat, texting, reviews, and payments for local businesses, including an aesthetics line. The price is a quote. ## How much does Podium cost? Not listed. Rechecked October 27, 2026. podium.com/getpricing asks you to pick an industry, including Aesthetics, and get a custom quote. It does not print a plan price. podium.com/pricing also says to talk to sales and does not print a plan price. That page names an AI employee, Jerry, and lists reviews, phones, webchat, an inbox, payments, and text marketing. Older third-party figures are not repeated here. ## What does Podium do for a med spa? Podium is the inbox a lot of local businesses use for texting and Google review requests, plus payments and an AI employee. Med spas use it when the booking system is weak at reviews and webchat. The public pricing page asks you to pick an industry and get a custom quote. ## Who is Podium best for? A multi-location group that wants reviews and texting standardized and will negotiate the quote. ## Pros - Review requests and two-way text are the core, which is the gap in a lot of EMRs. - Payments in the same thread can close a consult without a second login. - The quote-only page is at least not a fake starting price. ## Cons - No public price on either podium.com/getpricing or podium.com/pricing, rechecked October 27, 2026. - It overlaps Weave, your booking system's texting, and a CRM. Stacking all of them is how the software bill gets silly. - AI features are a sales conversation, not a rate card. ## Sources - [Podium custom quote](https://www.podium.com/getpricing) - [Podium pricing](https://www.podium.com/pricing) Category: Reviews and reputation. Reviews, listings, and messaging for multi-location businesses. The public site we checked did not show a price. ## How much does Birdeye cost? Not listed. Birdeye's homepage does not publish a subscription price. ## What does Birdeye do for a med spa? Birdeye asks for reviews, watches listings, and messages customers. Groups use it when every location needs the same review workflow and a report someone at corporate will actually open. ## Who is Birdeye best for? A group that needs review operations across locations and will sit through a demo for the number. ## Pros - Listings and reviews in one place matter when you have more than one Google profile. - It is a known vendor, so implementation stories exist outside the sales deck. - Nothing on this listing invents a starter price. ## Cons - No public price. - A single-location spa can often do the review ask with the booking system or a free Google link. - Messaging overlaps tools you may already pay for. ## Sources - [Birdeye](https://birdeye.com/) Category: Reviews and reputation. Last verified 2026-10-26. Comment-to-DM and Instagram automation from an official Meta partner. The practical tool for 'how much is lip filler?' in the comments. ## How much does ManyChat cost? Rechecked October 26, 2026. Prices on the page are the annual-billing rates, and the page says the final price depends on the billing country. Free, with 25 active contacts. Essential $14 per month ($168 a year) for 250 contacts. Pro $29 per month ($348 a year) for 2,500 contacts, with Manychat AI. Business $69 per month ($828 a year) for 7,500. Advanced $139 per month ($1,668 a year) for 25,000. Extra active contacts on monthly billing are $0.10, $0.05, $0.025, and $0.004. On annual billing those overages are $0.082, $0.038, $0.018, and $0.0028. Essential connects up to 2 channels. Pro connects up to 3. Business and Advanced connect all eligible channels. A 14-day trial of Essential or Pro does not require staying. Cancel within 30 days of purchase and they say support can refund it. ## What does ManyChat do for a med spa? ManyChat replies to Instagram and Facebook comments and DMs, captures the lead, and can hand the conversation to SMS or a booking link. Med spas use it for giveaways, comment keywords, and after-hours DMs. It is not the chart and it is not the phone. ## Who is ManyChat best for? A spa whose Instagram comments are the front door and whose front desk cannot answer them between patients. ## Pros - Official Meta partner, so you are not building your own Instagram app review. - The contact math is public. A single location usually fits Pro. - Keyword automations are how you turn 'price?' into a booking link without hiring a night shift. ## Cons - The prices above are annual billing. Monthly billing costs more and the page leads with the annual number. - Meta only lets automation reply inside a limited window after the person messages you. You cannot nurture a DM for a month inside Instagram. - The page says the final price depends on the billing country. Confirm it on the purchase page. ## Sources - [ManyChat pricing](https://manychat.com/pricing) Category: Social and content. Listing: https://medspaaihub.com/tools/manychat. The design tool spas actually use for menus, stories, and specials. Canva publishes US Pro at $12 a month billed yearly, or $18 month to month. ## How much does Canva cost? Canva's own comparison of Pro, Business, and Enterprise states US prices. Pro is US$12 per month per person billed yearly (US$144 a year), or US$18 month to month, for one person, with a 30-day trial. Business is US$20.83 per month per person billed yearly (US$250 a year), or US$25 month to month. Enterprise is custom, and the article tells larger teams to contact sales. It says those prices are for the US and to use canva.com/pricing for another region. That pricing URL still returned an unsupported-browser page on Oct 22, 2026, so the numbers here are from the comparison article, not from a rendered pricing grid. The article also says yearly billing is what cuts Pro from $18 to $12. ## What does Canva do for a med spa? Canva is where someone on the team makes the before-and-after graphic, the membership flyer, and the story sticker. It does not post for you, book anyone, or store clinical photos properly. Use the EMR for photos that belong in a chart. Pro is the one-person plan. Business is the per-person plan for a team. ## Who is Canva best for? Whoever already makes the spa's posts and needs templates more than another scheduler. ## Pros - The team you have can use it this afternoon. No implementation project. - Brand kits keep the specials from looking like a different spa every week. - It is the right tool for marketing creative, and the wrong tool for clinical photos. That boundary is useful. ## Cons - canva.com/pricing still would not render for an automated check. The prices above are from Canva's plan article, and another country may differ. - It will not request a Google review or answer a DM. - Clinical photos exported for Instagram need consent. Canva is not your consent system. ## Sources - [Canva on Pro, Business, and Enterprise prices](https://www.canva.com/learn/canva-pro-vs-canva-enterprise/) - [Canva pricing](https://www.canva.com/pricing/) Category: Social and content. The tool is free. You pay for the ads. ## How much does Meta Ads Manager cost? No software subscription. You set a budget and pay for delivery. Lead-form ads and website-conversion ads are both configured here. This environment could not fetch facebook.com (HTTP 400), so treat the URL as Meta's public ads page and confirm it in a browser. ## What does Meta Ads Manager do for a med spa? Ads Manager is how you run Facebook and Instagram campaigns, including instant lead forms. The lead comes into the form. Something else has to text or call the person. Meta does not charge a monthly fee for the tool. ## Who is Meta Ads Manager best for? Any spa buying Instagram or Facebook traffic. If you are not the one in Ads Manager, your agency is. ## Pros - Lead forms can ask for a phone number and a treatment interest before you spend a consult. - There is no platform fee on top of media, unlike a booking subscription. - The same ad account is what your CRM should be attributing. ## Cons - The URL could not be fetched from this environment. It is flagged. - A lead with no reply in the first hour is wasted spend. The tool will not save you from that. - Special ad categories and health-related targeting have rules. Read them before you write the ad. ## Sources - [Meta ads](https://www.facebook.com/business/ads) Category: Ads. Listing: https://medspaaihub.com/tools/meta-ads. Search ads for 'Botox near me' and the other terms people type when they are ready. No software fee. ## How much does Google Ads cost? No monthly software fee. You pay for clicks or conversions according to the bid and the budget you set. The public page resolved to Google's own Google Ads URL. ## What does Google Ads do for a med spa? Google Ads puts you on search results and on sites in the display network. For a med spa the useful part is high-intent search, plus call extensions so the phone rings. The click still needs a human or a system that answers. ## Who is Google Ads best for? A spa that wants people who are already searching for a treatment, and can answer the phone when the ad works. ## Pros - Search intent is closer to a booking than a cold Instagram view. - Call and location extensions match how people actually pick a nearby spa. - You can start without a contract. ## Cons - Unanswered calls from paid search are the most expensive leak in the building. - Competitors bid the same ten keywords. Costs move and Google does not promise a cost per lead. - The account is easy to waste. If nobody checks search terms weekly, you will pay for junk. ## Sources - [Google Ads](https://business.google.com/us/google-ads/) Category: Ads. Listing: https://medspaaihub.com/tools/google-ads. RxPhoto is built to take consistent medical photos: positioning guides, ghosting so the after lines up with the before, and storage that is meant for a chart rather than a camera roll. PatientNow sells it as part of the platform. A marketing export is not the same thing as the clinical file. ## Who is RxPhoto best for? A practice that is serious about consult photos and is already looking at PatientNow or Nextech, or wants a dedicated camera workflow. ## Pros - Ghosting and templates are the feature that makes a three-month after photo honest. - It is a clinical tool, which is the right place for identifiable patient photos. - It connects to the PatientNow world instead of a random shared album. ## Cons - No public price. - If you only need a selfie for Instagram, this is the wrong buy. Get consent either way. - Another login is a tax on providers who already hate the EMR. Confirm it opens inside the chart you use. ## Sources - [RxPhoto](https://rxphoto.com/) - [RxPhoto on PatientNow](https://www.patientnow.com/platform/rxphoto) Category: Before-and-after photos. Last verified 2026-10-21. The in-room consult screen: education, photos, and consents. Owned in the Nextech family. Price is a quote. ## How much does TouchMD cost? Not listed. TouchMD's site does not publish a subscription price. Hardware and setup, if any, were not listed either. ## What does TouchMD do for a med spa? TouchMD is the touchscreen consult. Patients see their photos, treatment education, and forms in the room, then carry a portal home. It is a presentation and consent system more than a booking system. Med spas and surgical practices use it when the consult itself is the sale. ## Who is TouchMD best for? A practice whose consult room is where treatment plans are accepted, and that can budget a quote plus whatever screen they need. ## Pros - The consult is where high-ticket plans are won or lost. This is built for that room. - Consents and photos in one patient-facing flow beat a clipboard and a phone. - It is a known product in plastic surgery and aesthetics, not a side feature. ## Cons - No public price, and consult hardware can dwarf a software fee. Ask before you fall for the demo. - It does not answer the phone or run your ads. - If your providers won't use the screen, you bought a kiosk. ## Sources - [TouchMD](https://www.touchmd.com/) Category: Before-and-after photos. Last verified 2026-10-21. Email and SMS flows for businesses that sell on a list. The free plan is published. Paid plans are usage-based. ## How much does Klaviyo cost? The free plan includes up to 250 active profiles, 500 email sends a month, and $5 of mobile messages a month. Email support on the free plan is for the first 60 days. Paid pricing is usage-based and the page did not publish a single flat monthly price, so a paid figure is Not listed. Going over the free limits can pause sending until you upgrade. ## What does Klaviyo do for a med spa? Klaviyo sends email and text campaigns and automations, with segments based on what people did. A med spa would use it for a retail list or a newsletter if the booking system can't. It is not a substitute for appointment reminders that already live in Boulevard or Jane, and it is not a HIPAA chart. ## Who is Klaviyo best for? A spa with a real retail or skincare list that has outgrown the email blasts inside the booking system. ## Pros - The free tier is specific, so you can try flows without a contract. - Segmentation is better than 'email everyone in the EMR'. - SMS and email sit in one tool, which is what rebooking campaigns want. ## Cons - Paid prices are not a flat number. A big list gets expensive, and that number is Not listed here. - Do not export a chart full of treatment notes into an email tool. Send the minimum you need, with consent. - Appointment reminders are usually cheaper and safer inside the system that owns the book. ## Sources - [Klaviyo pricing](https://www.klaviyo.com/pricing) Category: Email and SMS. Last verified 2026-10-21. A straightforward SMS tool with a public estimator, keyword opt-in, and 10DLC guidance. ## How much does SimpleTexting cost? The pricing estimator, set to yearly billing, showed $39.00 per month (billed yearly at $398.40) for 500 credits plus a $10 local number. Extra credits on that view were 5.5¢. A one-time carrier registration of $4 was listed. Additional users are $20 per month. Additional numbers are $10 per month. Incoming SMS is free. MMS picture messages cost 3 credits. The page has a monthly toggle, so the $39 figure is the yearly example, not every configuration. Carrier fees are passed through, about $0.0025 per message in the US according to their FAQ. ## What does SimpleTexting do for a med spa? SimpleTexting sends mass texts and two-way messages, with keywords people can text to join. Med spas use a tool like this for flash specials and event reminders when the EMR's texting is capped or clumsy. Consent and registration are still your problem. ## Who is SimpleTexting best for? A spa that wants a dedicated texting tool with a visible price and someone to help with 10DLC paperwork. ## Pros - The estimator shows a real configuration instead of 'contact sales'. - Unlimited contacts, and incoming SMS is free, which matches how clients actually reply. - They talk about 10DLC registration on the pricing page instead of pretending texts just send. ## Cons - Credits disappear faster with long messages and pictures. A 306-character text is 2 credits. - This does not know who is due for Botox unless you build the list. The EMR knows. - Marketing texts still need written consent. The software will not invent it for you. ## Sources - [SimpleTexting pricing](https://simpletexting.com/pricing/) Category: Email and SMS. Listing: https://medspaaihub.com/tools/simpletexting. Patient financing for med spas and other cash-pay practices. Cherry publishes a merchant-fee range instead of hiding it. ## How much does Cherry cost? Cherry's comparison page lists its merchant fee as 1.7%–13.9%. Their own articles describe fees starting at 1.7% and say there is no setup or subscription fee, only the per-transaction merchant fee. Patients can be offered plans up to $65,000, including true 0% APR for qualified borrowers, with terms up to 60 months. Approval rate is described as up to about 90%. The exact fee for your practice depends on the plan the patient picks, so the range is the published number, not a single rate. ## What does Cherry do for a med spa? Cherry lets a patient split a treatment plan, with applications that use a soft credit check. The practice gets paid upfront and Cherry collects from the patient. It shows up inside a lot of aesthetic checkouts, including integrations other EMRs name. It is financing, not a booking system. ## Who is Cherry best for? A spa that quotes treatment plans big enough that 'pay in full today' loses the consult. ## Pros - The fee range is public. You can model margin before the rep arrives. - No subscription is what they publish, so an unused month should not create a software bill. - Soft pull and a short application are easier at the front desk than a long credit-card pitch. ## Cons - 13.9% at the top of the range is a different business than 1.7%. Ask which plans you will actually offer. - Financing does not fix a slow lead response. It only helps the person who is already in the chair. - Staff have to offer it. A login nobody opens is a wasted integration. ## Sources - [Cherry for business](https://withcherry.com/business) - [Cherry comparison, merchant fee 1.7%–13.9%](https://withcherry.com/cherry-comparison) - [Cherry on fees starting at 1.7%](https://withcherry.com/blog/privi-vs-cherry) - [Cherry on no setup or subscription fee](https://withcherry.com/blog/repeatmd-vs-cherry) Category: Payments and memberships. Patient financing used by aesthetic and surgical practices. The provider fee is not on the public site. ## How much does PatientFi cost? Not listed. PatientFi's public site does not publish a provider merchant fee. Do not use a competitor's description of that fee as if PatientFi had printed it. ## What does PatientFi do for a med spa? PatientFi offers installment plans for elective procedures, including med spa treatments. Practices get paid for the treatment and the patient repays PatientFi. It is a checkout option next to Cherry, CareCredit, and a card. ## Who is PatientFi best for? A practice that wants a second financing option for patients who do not fit the first lender, and will ask PatientFi for the fee in writing. ## Pros - Another approval path at checkout, which matters when the first application says no. - It is aimed at elective care, so the front desk script is a known one. - The missing fee is marked Not listed instead of copied from a rival's blog. ## Cons - You cannot compare the merchant fee with Cherry's published range until PatientFi quotes you. - Promotional 0% offers in this category are often deferred interest. Read the patient agreement before you promise 'no interest'. - One more tablet at the desk only works if someone owns the process. ## Sources - [PatientFi](https://patientfi.com/) Category: Payments and memberships. Listing: https://medspaaihub.com/tools/patientfi. Official page: https://patientfi.com/. This listing has no affiliate link. # CareCredit > CareCredit does not publish a price, so this listing says Not listed. Last verified 2026-10-21. The healthcare credit card patients already know. Provider pricing is negotiated, not published. ## How much does CareCredit cost? Not listed. CareCredit's provider page does not publish a merchant discount rate. The fee is part of enrollment, not a number on the website. ## What does CareCredit do for a med spa? CareCredit is a credit card patients use for health and wellness purchases, including aesthetics. The practice pays a merchant fee and the patient may get a promotional financing window. Many people arrive already holding the card. ## Who is CareCredit best for? A practice whose patients ask for CareCredit by name and that wants the card accepted at checkout. ## Pros - Awareness is the feature. Patients have heard of it, which shortens the pitch. - It sits beside other financing rather than replacing your card machine. - Provider enrollment is a known path, not a startup experiment. ## Cons - The merchant fee is Not listed. Get it in the agreement and compare it with a published range like Cherry's. - Deferred-interest promotions confuse patients. Your team needs a sentence that is accurate. - A card the patient already has does not help the person who was declined. ## Sources - [CareCredit for providers](https://www.carecredit.com/providers/) Category: Payments and memberships. The aesthetics page prints approval and funding claims and does not print a merchant fee. ## How much does HFD cost? Not listed. Rechecked October 29, 2026 on gohfd.com/aesthetics. That page does not print a merchant fee or a software subscription. It says the practice is paid in 2–3 business days, that there is a $3K minimum for every approved patient, and that patients can finance up to 100% of the treatment cost. It says there is a 0% option for every credit tier, that applying is a soft credit check with no score impact, and that the application takes under 3 minutes. HFD states a 99%+ approval rate and footnotes that an applicant can still be declined for an open bankruptcy, a government watchlist, or an identification problem. The Bank Loan Program is issued by Hatch Bank. The 99% figure is HFD's, not an independent count. ## What does HFD do for a med spa? HFD offers payment plans for aesthetic treatments, including injectables, laser, body contouring, and packages. The practice is paid for the plan and the patient pays HFD. It is financing at checkout, not a booking system. ## Who is HFD best for? A med spa quoting packages large enough to clear the $3K minimum, that will get the merchant fee in writing before the front desk offers it. ## Pros - The aesthetics page is written for med spas, including injectables, laser, and packages. - Funding time, the $3K minimum, and the soft-pull application are printed. - The missing merchant fee is marked Not listed, beside Cherry's published range on that listing. ## Cons - No merchant fee. You cannot compare margin with Cherry's published 1.7%–13.9% until HFD quotes you. - The 99%+ approval rate is the vendor's figure, and the footnote says some applicants are declined. - A $3K minimum does not help a patient who needs to finance less than that. ## Sources - [HFD aesthetics financing](https://gohfd.com/aesthetics/) Category: Payments and memberships. RepeatMD for med spas is a branded app for rewards, memberships, and shopping. The software price is not published. This listing is not the RepeatMD admin login. ## How much does RepeatMD cost? Not listed. Rechecked October 28, 2026. The pricing page says options are flexible for one location or many and does not print a software fee. The memberships page still shows a line reading 'From $2,499 | $1,999 Member' next to Affirm. That line is not labeled as the software subscription, so it is not the price. A figure quoted by a reviewer or a competitor is not used here. ## What does RepeatMD do for a med spa? RepeatMD's homepage describes a branded app with mobile rewards, AI treatment advisors, memberships, shopping, and patient financing through Affirm. SkinDrop is their ecommerce for professional skincare with no inventory at the practice. They say the branded app launches in 30 days or less. The homepage states that members spend 44% more than non-members and that 48% of initial treatments come from unlocked rewards. Those two figures are RepeatMD's. Aesthetic Record's pricing page names RepeatMD as an integration on the Accelerator plan. The API docs say the administrative console is at admin.repeatmd.app. This page is not that login. ## Who is RepeatMD best for? A spa that wants memberships and rewards in a patient app, and will book a demo to hear the fee. ## Pros - Memberships, rewards, and a patient app are the product, which is a different screen from the chart. - The pricing page says they quote one location or many. It does not invent a sticker. - The admin console URL is published in RepeatMD's own API docs, which is what an 'admin RepeatMD' search is usually hunting. ## Cons - No software price on the pricing page. Do not budget from a screenshot. - The $2,499 and $1,999 line on the memberships page is not labeled as the software fee. - Aesthetic Record sells memberships itself and also lists RepeatMD as an add-on integration. You can end up paying twice. ## Sources - [RepeatMD pricing](https://repeatmd.com/pricing) - [RepeatMD homepage](https://repeatmd.com/) - [RepeatMD memberships](https://repeatmd.com/solutions/memberships) - [RepeatMD admin console, in the API docs](https://docs.api.repeatmd.com/repeatmd-api-documentation/onboarding) Category: Payments and memberships. Last verified 2026-10-21. Call tracking so you can see which ad, page, or profile made the phone ring. Plans publish a starting price plus usage. ## How much does CallRail cost? Lead Tracking is $50 per month plus usage, with 5 numbers and 250 minutes, including call and text tracking, recording, and transcription. Lead Tracking Complete is $95 per month and adds form tracking. Lead Conversion is $150 per month and adds conversation intelligence. Lead Conversion Complete is $195 per month and combines form tracking with that intelligence. The page offers yearly billing at up to 10% off. Minutes and numbers beyond the included pool cost extra. A 14-day trial is offered. ## What does CallRail do for a med spa? CallRail gives you tracking numbers, recordings, and attribution for calls and texts. A med spa uses it to learn whether Google Ads, the GBP listing, or Instagram is producing calls, and whether those calls were answered. It does not answer the phone for you. ## Who is CallRail best for? A spa spending on ads or SEO that currently cannot say which dollar produced a phone call. ## Pros - Four starting prices are on the page, with what each one adds. - Recording and transcription tell you if the front desk is actually booking. - Form tracking on the higher plans connects the website leads to the same report. ## Cons - Usage fees sit on top of the sticker. A busy phone is not $50. - Tracking numbers confuse call forwarding if you also use an AI receptionist. Set it up once, carefully. - It reports the leak. It does not call the lead back. ## Sources - [CallRail pricing](https://www.callrail.com/pricing) Category: Analytics. Listing: https://medspaaihub.com/tools/callrail. The free site analytics almost every spa should have before paying for a dashboard. ## How much does Google Analytics cost? Google Analytics is free. There is a paid Analytics 360 product for very large properties. A single med spa site does not need it, and 360 pricing is not listed on the public overview page, so it is Not listed here. ## What does Google Analytics do for a med spa? Google Analytics 4 shows which pages and campaigns bring people to the site and what they do next. Paired with a booking confirmation page or a call-tracking tool, it tells you if the website is producing consults. It will not tell you who is due for Botox. ## Who is Google Analytics best for? Every spa with a website. Install it, then check it. Paying for another analytics suite first is usually backwards. ## Pros - Free, and it is the source your ads person will ask for anyway. - You can see landing pages for Botox, filler, and memberships separately if the site is built that way. - It pairs with Google Ads without a connector project. ## Cons - It does not know about phone calls unless you send them in from a call tracker. - A broken tag is a blank report. Someone has to confirm it once. - It is not a patient list. Don't try to make it one. ## Sources - [Google Analytics](https://marketingplatform.google.com/about/analytics/) Category: Analytics. A med spa operating system sold as a partnership: charting, booking, payments, and a medical-director match. The software fee is a share of sales, and the percentage is not on the site. ## How much does Moxie cost? Not listed. joinmoxie.com/how-we-work says there are no fixed monthly fees and that pricing is performance-based. The percentage, and what revenue it applies to, is not on that page. Medical-director matching is described as standardized rates, and those rates are not printed on the matching page either. ## What does Moxie do for a med spa? Moxie Suite is the practice system: charting and EMR, scheduling, payments, inventory, e-prescribe, memberships, online booking, intake, and client messages. The same relationship includes a launch coach, medical-director matching, compliance alerts and good-faith exams, supply pricing, and monthly coaching. Their how-we-work page says there is no fixed monthly software fee. They charge performance-based pricing and tell you to book a call for the number. ## Who is Moxie best for? A licensed injector (NP, RN, PA, DO, or MD) who wants the software, a medical director, and coaching in one relationship and will ask for the revenue share in writing. ## Pros - The suite is built for med spas: charting, GFEs, booking, payments, and memberships are the same pitch. - They say you do not pay a fixed monthly software fee, so the bill moves with revenue rather than a seat count. - Medical-director matching is part of the offer, which a plain EMR does not include. ## Cons - The percentage is not published, so you cannot compare it with a per-location EMR until the call. - This is a partnership with coaching and supply deals, not a login you turn on by yourself. - Their medical-director page says matching is not offered in Florida. ## Sources - [Moxie homepage](https://www.joinmoxie.com/) - [How Moxie works, including pricing](https://www.joinmoxie.com/how-we-work) - [Medical director matching](https://www.joinmoxie.com/find-medical-director) Category: Booking and practice software. An AI-native EMR for elective care: booking, charting, payments, inventory, memberships, and a text-and-voice front desk. The public site does not print a subscription price. ## How much does Decoda Health cost? Not listed. decodahealth.com does not publish a platform price. Their usage documentation lists metered items (AI call minutes, calls, texts, mail, a monthly flat fee, a per-location fee, and e-prescription users) and does not print the per-unit rates. Dollar amounts on the homepage are sample patient screens, not the software fee. ## What does Decoda Health do for a med spa? Decoda runs the visit in one system. A new lead can be followed up, booked, and sent forms. The visit can be charted from the conversation, payment collected, inventory deducted, and a membership applied. They also describe an AI assistant that answers patient texts and calls. The homepage says the contract is month to month, you can cancel anytime, there is no annual commitment, they migrate your records, there is no onboarding fee, and you can export your data yourself. ## Who is Decoda Health best for? A med spa or weight-loss practice that wants one elective-care EMR and will get the monthly fee on a call. ## Pros - Scheduling, charting, payments, inventory, and memberships are described as one product. - Month-to-month, no annual commitment, and no onboarding fee are stated on the homepage. - They say you can export your own data without calling to leave. ## Cons - No public price, so the sample membership figures on the homepage are easy to misread as the software fee. - Usage is metered, and the unit prices are not on the public usage page. - It is a full EMR swap. The booking system you have now gets replaced, not plugged in. ## Sources - [Decoda homepage](https://decodahealth.com/) - [Usage and billing documentation](https://docs.decodahealth.com/modules/usage) Category: Booking and practice software. AI agents that text, email, and on the top plan call, to book and follow up leads inside the system you already use. Priced per location. The named integration is ClubReady. ## How much does AI Front Desk cost? Per location, billed monthly. Starter $299 (Lead Booking Agent, SMS, CRM and scheduling integration, SOC 2, two-week deployment; voice not included). Growth $399 (adds nurturing and missed-sale follow-up, SMS and email). Operations $699 (adds win-back, voice, multi-location reporting, a success manager, and an SLA). Volume rates for 2+ locations are not published. Month-to-month is available. An annual discount is mentioned and not given as a percent. ## What does AI Front Desk do for a med spa? AI Front Desk puts agents on the lead path: reply, book into the scheduling system, nurture, follow up a missed sale, and win back someone who left. Starter is SMS only. Growth adds email. Operations adds voice. They say agents run inside your existing CRM and scheduler, staff do not learn a new app, and a typical deployment is two weeks. The pricing page says the live integration is ClubReady, and the homepage examples are fitness studios. ## Who is AI Front Desk best for? A multi-location operator whose booking system is already on the integration list, and who wants the lead follow-up handled without replacing that system. ## Pros - The three location prices are on the pricing page, with voice called out as Operations-only. - Month-to-month is available, so you are not required to sign an annual deal to start. - They say the agent sits in the CRM you already have, rather than asking the front desk to live in a second inbox. ## Cons - The only booking integration named on the pricing page is ClubReady. Boulevard, Mangomint, and the other med spa books are not listed. - The public case studies are fitness studios, not med spas. - Voice is not on the $299 or $399 plans. A phone-heavy spa is on the $699 plan. ## Sources - [AI Front Desk pricing](https://aifrontdesk.com/pricing) - [AI Front Desk homepage](https://aifrontdesk.com/) Category: AI receptionists and lead response. Last verified 2026-10-23. Texting for med spas: reminders, rebooking, reactivation, review asks, and a shared inbox. SMS plans are priced by monthly credits, starting at $42. ## How much does Emitrr cost? Published on Emitrr's own site in a pricing comparison, last updated August 13, 2026. Standard and Pro, per month, by message credits: 500 credits $42 / $45; 1,000 $68 / $73; 2,000 $110 / $118; 3,000 $138 / $148; 5,000 $210 / $225; 7,500 $315 / $337; 10,000 $420 / $450; 15,000 $486 / $522; 20,000 $540 / $580; 30,000 $741 / $796; 40,000 $876 / $941; 50,000 $1,011 / $1,086; 100,000 $1,820 / $1,960. Enterprise is a quote. The same page says healthcare pays an additional $200 to unlock advanced automation, and that AI features are on Pro. A dedicated pricing page was not found. ## What does Emitrr do for a med spa? Emitrr texts clients before a treatment, sends aftercare and a rebook prompt, runs 60, 90, and 120-day reactivation, asks for a review, fills a cancellation from a waitlist, and keeps replies in one team inbox on the business number. The same company also sells webchat, phones, fax, and an AI agent. The med spa page is about the text workflows, not a booking system. ## Who is Emitrr best for? A spa whose booking system is weak at reminders, rebooking texts, and review requests, and that can live with credit-based SMS pricing. ## Pros - The credit table is printed, from 500 credits through 100,000, for both Standard and Pro. - The med spa page names the jobs that matter: no-show texts, 90-day reactivation, and review requests. - The same article says you can add users without a per-seat charge. ## Cons - Healthcare automation is an extra $200 on top of the credit plan, on that same page. - The price lives in a comparison article, not on a pricing page, so confirm it before you buy. Rechecked October 23, 2026: the article still says last updated August 13, 2026, and the credit table is the same. - This does not replace the book. It texts around whatever scheduler you already have. ## Sources - [Emitrr for med spas](https://emitrr.com/specialties/med-spa/) - [Emitrr pricing table, in their SlickText comparison](https://emitrr.com/blog/slicktext-pricing/) Category: Email and SMS. Sales training for aesthetics teams: curriculum, scripts, certifications, and an AI role-play coach named Bianca. Two published annual prices, then a custom tier. ## How much does Aesthetic Sales Hero cost? On aestheticsaleshero.com/pricing: the individual practitioner plan is $275 per year and includes the training system, guidebooks and scripts, faculty resources, Bianca AI role-play, and an analytics dashboard. Core is $950 per year for up to 10 users and adds unlimited AI role-play and core curriculum certification. Enterprise, for 11 or more users, is custom and adds custom modules, advanced analytics, and priority support. Their terms say fees are non-refundable once billed unless the law or a written exception says otherwise. ## What does Aesthetic Sales Hero do for a med spa? Aesthetic Sales Hero is a training platform for the consult. Staff get a curriculum, guidebooks and scripts, faculty resources, an analytics dashboard, and Bianca, an AI role-play coach. Core adds unlimited AI role-play and a curriculum certification. It does not schedule patients or take payment. Their terms say the product is coaching and communication training, not medical advice. ## Who is Aesthetic Sales Hero best for? An owner who wants the consult team practicing the same sales conversation, and who will pay annually. ## Pros - The individual and Core prices are printed, including the 10-user cap on Core. - Role-play is included, so practice does not depend on a manager being in the room. - It is aimed at aesthetics and wellness, not generic retail sales training. ## Cons - You pay for the year. The terms page says billed fees are non-refundable aside from a legal or written exception. - Enterprise, which is the tier past 10 users, has no printed price. - It does not book, chart, or text the patient. The consult skill and the front-desk system stay separate. ## Sources - [Aesthetic Sales Hero pricing](https://aestheticsaleshero.com/pricing) - [Aesthetic Sales Hero homepage](https://aestheticsaleshero.com/) - [Terms of service](https://aestheticsaleshero.com/terms) Category: Sales training. Not listed. growth99.com/pricing-plans names Essentials, Accelerator, and Elite and does not print a dollar price for any of them. Paid media is three tiers whose monthly investment is 'pricing available upon request.' Those tiers say they will manage up to $1,500, $3,500, or $8,000 a month of ad spend. That figure is the spend they manage, not their fee. ## What does Growth99 do for a med spa? Growth99 sells Essentials, Accelerator, and Elite. Essentials covers patient email and SMS automation, a self-assessment tool, an AI chatbot trained on aesthetic terms, forms, reporting, onboarding, and support. Accelerator adds reviews, a social scheduler, a custom website (up to 15 pages on that tier), hosting, landing pages, and Google Business Profile work. Elite adds SEO, blog content, generative-search optimization, monthly strategy calls, and a dedicated manager. Paid media and social graphics are add-ons. ## Who is Growth99 best for? A practice that wants the website, the follow-up texts, and the local SEO from one vendor and will take a quote. ## Pros - The plan grid says what each tier includes, including the website page caps. - Text and email automation, reviews, and an aesthetic chatbot are in the product, not a separate tool you have to name. - The paid-media section separates their fee (unlisted) from the ad spend they will manage. ## Cons - No plan price. You cannot compare it with a CRM subscription until someone sends a quote. - A website and SEO engagement is a project. It is not a checkout you turn on this afternoon. - Paid media still needs ad spend on top of a management fee they do not print. ## Sources - [Growth99 pricing plans](https://growth99.com/pricing-plans/) Category: CRM and marketing automation. A medical marketing firm for med spas: site, SEO, ads, content, and a few priced software products. The monthly retainer is not published. ## How much does Etna Interactive cost? The marketing retainer is not listed. Printed product prices, install fees extra and not given as a number: Core Lead Management $60/mo; Call Tracking from $60/mo per location; Curator B&A $140/mo; Reputation Ally from $195/mo per location. Spotlight Photo+Video starts at $5,700 for the day, plus transportation, lodging, and a meal allowance for two. Core's page also says it is included in every Etna marketing plan. ## What does Etna Interactive do for a med spa? Etna plans and runs online marketing for medical spas and other aesthetic practices: strategy, SEO, search and social ads, content, web design, social, email, local search, and reputation. Their own products sit on top of that work. Core Lead Management tracks where a lead came from and is described as a standard part of every Etna marketing plan. Call tracking, a before-and-after gallery, and reputation software are sold with printed monthly prices. The retainer for the marketing work itself is not. ## Who is Etna Interactive best for? A med spa that wants an agency to run the site and the ads, and that will compare a written proposal with these product prices. ## Pros - Several of their own tools have a printed monthly price, with install called out as extra. - The med spa page lists the actual services: SEO, ads, reputation, content, and the website. - Core is described as part of every marketing plan, so lead source is not an add-on you discover later. ## Cons - The retainer, which is the number that matters, is not on the site. - Install fees are flagged and not priced. - You are hiring a team. This is not software you configure without them. ## Sources - [Etna medical spa marketing](https://www.etnainteractive.com/clients/medical-spa-marketing/) - [Core Lead Management](https://www.etnainteractive.com/products/core-lead-management/) - [Call Tracking](https://www.etnainteractive.com/products/call-tracking/) - [Curator B&A](https://www.etnainteractive.com/products/curator-ba/) - [Reputation Ally](https://www.etnainteractive.com/products/reputation-ally/) - [Spotlight Photo+Video](https://www.etnainteractive.com/products/spotlight-photo-video/) Category: CRM and marketing automation. Programmatic advertising: display, native, connected TV, and audio, with a custom audience per client. No price is published. They do not sell SEO or search ads. ## How much does MarketStorm AI cost? Not listed. marketstorm.ai does not publish a management fee, a minimum spend, or a monthly plan. The way in is a demo. ## What does MarketStorm AI do for a med spa? MarketStorm buys programmatic ads. They say they build a custom audience from browsing behavior instead of a generic third-party segment, and they place ads in display, native, connected TV, and digital audio. Their site says this is the middle of the decision, not the search. They also say they do not build websites and do not provide SEO or SEM, and that they will work next to whoever already does. A health-and-beauty article on their site names med spas, plastic surgeons, and skincare clinics as a local-targeting use. ## Who is MarketStorm AI best for? A practice that already converts search and website traffic and wants an upper-funnel ad buy on top, with the budget discussed on a call. ## Pros - They are specific about the channels: display, native, CTV, and audio. - They say they are not a replacement for SEO or Google Ads, which keeps the job clear. - Agencies can white-label the same service, per their white-label page. ## Cons - No published fee or minimum. You cannot tell if a single location can buy it. - This spend sits upstream of a booked consult. It does not answer the phone or the lead form. - The audience method is their description. The site does not publish a rate card you can audit. ## Sources - [MarketStorm homepage](https://marketstorm.ai/) - [MarketStorm on local health and beauty](https://marketstorm.ai/grow-local-win-big-how-marketstorm-powers-success-across-industries/) - [White-label programmatic](https://marketstorm.ai/white-label-solutions/) Category: Ads. One platform across suppliers, with finance and analytics. The subscription price is not published. ## How much does Medvelle cost? Not listed. medvelle.com does not publish a subscription price. Getting started is a demo. ## What does Medvelle do for a med spa? Medvelle is how a spa orders product. The site describes automated inventory and forecasting, supplier comparison, ordering from one platform, consolidated invoices, and spend reports by category or location. The homepage says their team compares offers from 300+ suppliers in one section and from 20+ suppliers in another. They also say practices can cut discretionary costs by over 20% and order time by 80%. Those are their claims. The homepage FAQ asks how much Medvelle costs, and the page text did not include an answer. ## Who is Medvelle best for? A multi-location aesthetic group that wants purchasing and inventory in one place and will take a quote. ## Pros - Ordering, inventory, supplier comparison, and spend reporting are described as one platform. - It is aimed at spa and aesthetic supplies, not a general hospital catalog. - The homepage is clear that you book a demo rather than check out at a posted price. ## Cons - No software price. The savings percentages are not a fee. - The supplier count is written two ways on the same homepage, 300+ and 20+. - It does not replace the EMR. The book and the chart stay where they are. ## Sources - [Medvelle homepage](https://www.medvelle.com/) - [Why Medvelle](https://www.medvelle.com/why-medvelle) - [Medvelle Finance](https://www.medvelle.com/platform/medvelle-finance) Category: Supplies and inventory. Review requests by text and email, plus a reviews page. Starter is $75 a month and Pro is $125. ## How much does NiceJob cost? Rechecked October 27, 2026. On get.nicejob.com/pricing, Starter is $75 per month and Pro is $125 per month, both in USD. Those prices match the October 22 check. Starter includes SMS and email review requests, website review widgets, social sharing (auto-post to Facebook and X, manual share to Instagram and LinkedIn), a staff leaderboard, and a reviews microsite. Pro adds repeats (rebooking reminders by SMS and email based on last service date), referrals, email broadcasts, AI review replies, thank-you gifts, NPS surveys, and competitor review tracking. Gifts are listed as a Jobber or QuickBooks integration only. Sites, a managed website, is $99 per month plus a $199 setup fee. Extra Sites landing pages are $145 once and $15 per month each. A blog, services, or locations CMS is $245 once and $15 per month. AI Leads is marked coming soon and the price is TBA. There is no contract, you can cancel anytime, and a 14-day trial sets the first billing date. Enterprise, franchise, and multi-location pricing is custom. ## What does NiceJob do for a med spa? NiceJob sends review requests by SMS and email, puts reviews on a website widget and a microsite, and can auto-post some of them to Facebook and X. Pro adds rebooking reminders, referral asks, email broadcasts, and AI-written review replies. The pricing page is written for service businesses. It names Jobber, Housecall Pro, ServiceTitan, and QuickBooks. It does not name a med spa chart. ## Who is NiceJob best for? A single-location spa that wants the review ask to go out by text and would rather pay a posted price than wait on a Podium or Birdeye quote. ## Pros - Starter and Pro prices are printed in USD, with no contract. - Review requests go by SMS and email, which is the step a lot of booking systems leave to the front desk. - Pro repeats are rebooking reminders tied to the last service date, which is the interval problem if that date is actually in the tool. ## Cons - The pricing page does not mention med spas, an aesthetic EMR, or a BAA. Do not export a chart into it until you know what you are sending. - Thank-you gifts work only with Jobber or QuickBooks, which a med spa usually does not run. - AI Leads, the chat and phone agent, is marked coming soon and has no price. ## Sources - [NiceJob pricing](https://get.nicejob.com/pricing) Category: Reviews and reputation. Last verified 2026-10-22. Call, form, and chat tracking with a public rate card. Single-account plans start at $30 a month. ## How much does WhatConverts cost? On whatconverts.com/pricing, single-account plans are Call Tracking at $30 per month, Plus at $60, Pro at $100, and Elite at $160. Each includes a $30 usage credit. Unlimited-account plans are Plus at $500 per month with a $250 credit, Pro at $800 with a $300 credit, and Elite at $1,250 with a $400 credit. A 14-day trial is offered. Extra local numbers are $2.50 each on single-account plans and $1.75 on unlimited-account plans. Extra local minutes are 4.5¢ and 4¢. Extra toll-free numbers are $3.50 and $3.00. Extra toll-free minutes are 6.5¢ and 6¢. Call transcription is 2¢ per minute. Inbound texts are 3¢ each. White label is an extra $50 per month. Form, chat, and transaction tracking is 10¢ each, and that line shows N/A on the $30 Call Tracking plan. Plus adds form and chat tracking plus campaign and keyword reporting. Pro adds call flows, a report builder, scheduled reports, and says its call, form, and chat tracking is HIPAA compliant. Elite adds customer journey, multi-click attribution, pages visited, and lead intelligence. The credit is used for tracked leads, so a busy phone is not the sticker price. ## What does WhatConverts do for a med spa? WhatConverts gives you tracking numbers and attaches marketing data to calls. Plus and above also track forms and chat. A med spa uses it the same way it would use CallRail: to see whether the ad, the landing page, or the profile made the phone ring. It does not answer the call or book the visit. ## Who is WhatConverts best for? A spa already spending on ads that wants the per-number and per-minute rates on the page, next to CallRail. ## Pros - Seven subscription prices are printed, and the overage rates are on the same page. - Pro and Elite say the tracking is HIPAA compliant. The $30 and $60 plan cards do not. - Keyword and campaign reporting, from Plus up, is the report that says which ad produced the call. ## Cons - The monthly price is not the whole bill. Numbers, minutes, texts, and transcription sit on top. - It reports which campaign called. It does not book the appointment. - A second tracking number, next to CallRail or an AI receptionist, will split the attribution if both are on. ## Sources - [WhatConverts pricing](https://www.whatconverts.com/pricing/) Category: Analytics. Canfield's in-room skin camera for consult photos and before-and-after comparison. The product page does not publish a price. ## How much does VISIA cost? Not listed. The VISIA 3D page on canfieldsci.com does not publish a purchase price, a subscription, or a lease. It does publish computer requirements, including Windows 11 Professional (Windows Home is not supported) or a 2023 or newer Mac, and it says cloud storage is not supported for the image data. The iPad app is described as purchased separately, also without a price. ## What does VISIA do for a med spa? VISIA is a complexion-analysis system for the consult room. The VISIA 3D page describes capture in standard light, cross-polarized light, and UV, and analysis of spots, wrinkles, texture, pores, UV spots, brown spots, red areas, and porphyrins. It includes a before-and-after comparison, printed reports, and simulation tools for volume and contour. Canfield also describes an iPad app that is purchased separately. This is a camera and a workstation, not a booking system. ## Who is VISIA best for? A practice that sells skin treatments and injectables, wants the consult to show standardized skin photos, and will ask Canfield for the number. ## Pros - Standard, cross-polarized, and UV capture, plus the feature list on the page, is how a three-month photo stays comparable. - Side-by-side comparison is part of the product, which is the consult, not a camera roll. - Volume and contour simulation are described on the same page as the camera. ## Cons - No public price. This is hardware plus a computer, not a login you cancel in settings. - The iPad app is a separate purchase, and the page does not say what it costs. - Cloud storage of the images is not supported. The page says backups are highly recommended, and someone on staff has to own that. ## Sources - [VISIA 3D](https://www.canfieldsci.com/imaging-systems/visia-complexion-analysis/) Category: Before-and-after photos. Returning marketplace clients are free, and bookings from your own website, Instagram, and Facebook are free. Online cards are 2.79% + $0.20. Automated texts after the allowance are $0.02, marketing texts are $0.08, and marketing emails after the allowance are $0.02. Rates exclude local sales tax. The page lists HIPAA compliance among its certifications. ## What does Fresha do for a med spa? Fresha is the calendar, point of sale, client list, consultation forms, inventory, memberships, and online booking for beauty and wellness businesses. The pricing page names med spas as a business type. New clients who find you on the Fresha marketplace pay a one-time commission. Clients who book from your own site, Instagram, or Facebook do not. It is a booking system with forms, not an aesthetic EMR. ## Who is Fresha best for? A solo esthetician or a small spa that wants a published booking price and can live without a clinical chart. ## Pros - Independent and Team prices are printed, and the FAQ says you can cancel anytime. - Bookings from your own website and Instagram are free. The marketplace fee is only for a new client who found you there. - The pricing page names med spas, and it lists consultation forms, memberships, and inventory on the core plans. ## Cons - This is not a med spa chart. Photo markup, lot tracking, and medical-director sign-off are not the product. - The marketplace takes 20% once, with a $6 minimum, on a new client who books through Fresha. - Text and email allowances are small. Marketing texts are $0.08 each after you leave the free pool. ## Sources - [Fresha pricing](https://www.fresha.com/pricing) Category: Booking and practice software. Last verified 2026-10-23. Practice software for clinics and med spas: scheduling, records, photos, payments, and marketing on every plan. The published starting price is $104 a month for one user. ## How much does Pabau cost? Pabau's pricing page publishes a starting price of $104 per month for one user, in the page title, the meta description, and schema (lowPrice 104 USD). The meta description says that Solo price includes full platform access and no feature gating: scheduling, records, payments, marketing, and reporting. Team (2–3 users), Medium (4–5), Group (6–15), and Enterprise (16+) dollar amounts are not printed. The FAQ says those quotes depend on user count and add-ons, and that annual billing can save up to 20% without printing the annual dollar amount. Pricing applies per location, except Enterprise, which covers multiple sites. Marketing Plus, Care Plus, Insight Plus, and Engage Plus are optional add-ons and their prices are not printed. The feature grid lists HIPAA compliant. ## What does Pabau do for a med spa? Pabau is a clinic system. Every plan includes scheduling, online booking, clinical records, forms, photos, payments, inventory, marketing tools, and reporting. Plans differ by how many people log in, not by which features are locked. A user is anyone who logs in, including a receptionist. Patients do not count. The pricing page describes it for clinics and med spas. ## Who is Pabau best for? A single-provider med spa that wants a clinic system at a published starting price, and will ask for the team price on a call. ## Pros - The one-user starting price is published, and the page says features are not gated by plan. - Clinical records, forms, and photos are in the core product, not a salon calendar with a forms add-on. - Receptionists count as users, which is stated, so you can ask the right headcount question. ## Cons - Only the Solo starting price is printed. A two-person front desk is a quote. - Add-on prices, including the AI phone add-on, are not on the page. - The $104 figure is in the page metadata and schema. Confirm the number on the rendered plan card before you buy. ## Sources - [Pabau pricing](https://www.pabau.com/pricing/) Category: Booking and practice software. Lead tracking and follow-up for medical and aesthetic practices. One fee per office, unlimited users, and the fee is not printed. ## How much does MyMedLeads cost? Not listed. The pricing page says there is one fee per office, unlimited users, and that you can cancel anytime. It does not print the fee. ## What does MyMedLeads do for a med spa? MyMedLeads captures calls and form fills, tracks which ad produced the lead, and runs email, text, and recall campaigns. The homepage says it syncs with Nextech, Symplast, and PatientNow, among other practice systems, and that online scheduling is available for Nextech users, with other EMRs coming soon. Review asks can go to Google, Yelp, or RealSelf. It does not replace the EMR. ## Who is MyMedLeads best for? A practice already on Nextech, Symplast, or PatientNow that wants lead source and follow-up outside the chart, and will ask for the office fee. ## Pros - The pricing page states the shape of the bill: one fee per office and unlimited users. - Named practice-system syncs include Nextech, Symplast, and PatientNow. - Call tracking, speed-to-lead history, and review asks are described as the product, not a booking system. ## Cons - The office fee is not published, so you cannot compare it with a CRM sticker until the demo. - Online scheduling is described as available for Nextech users. Other EMRs are marked coming soon. - It sits next to the practice system. It does not chart the visit or take the card. ## Sources - [MyMedLeads pricing](https://www.mymedleads.com/pricing/) - [MyMedLeads homepage](https://www.mymedleads.com/) Category: CRM and marketing automation. Practice management for med spas and other aesthetic practices: booking, charting, photos, payments, memberships, and marketing on one record. The software fee is not printed. ## How much does Prospyr cost? Not listed. The homepage does not print a monthly software fee. Prospyr's payment-processing policy says card fees will not exceed 3.2% and $0.30 per card transaction, and that the fee in your agreement is the one that applies. That ceiling is not a software subscription. ## What does Prospyr do for a med spa? Prospyr's homepage says it is practice management software for med spas, plastic surgery, and other aesthetic and wellness practices. It describes online booking, charting, consents and photos, payments, memberships, marketing, and AI on one patient record, and says they move your data from the current system. It says the product fits self-pay practices from a solo injector to a multi-location group, and that it is not the right fit for a practice that depends heavily on insurance billing. The homepage calls the platform cloud-based and HIPAA compliant. ## Who is Prospyr best for? A self-pay med spa that wants the chart, the book, and the lead inbox in one login and will take the software price on a quote. ## Pros - The homepage is written for med spas, not adapted from a salon calendar in the first sentence. - Insurance-heavy practices are named as a poor fit, which saves a demo. - The card-fee page publishes a ceiling, which is more than a blank processing section. ## Cons - The monthly software fee is not on the site. The card ceiling is not the subscription. - The actual processing rate can be lower than 3.2% + $0.30. The policy says the agreement controls. - It is another full practice system. It does not sit beside an EMR you plan to keep. ## Sources - [Prospyr](https://prospyrmed.com/) - [Prospyr card-fee policy](https://prospyrmed.com/payment-processing-service-fee-policy) Category: Booking and practice software. SMS marketing is $99 per month and includes 1,000 texts, with no rollover. Texts past 1,000 are billed as usage, and that per-text rate is Not listed. Appointment reminders stay on the base plan. CRM, AI tools, and an AI call receptionist are $399 per month plus usage charges, and those usage rates are Not listed. The FAQ says there is no long-term contract and no cancellation penalty. Visa, Mastercard, American Express, Discover, Apple Pay, and Google Pay are named. ## What does Calysta Pro EMR do for a med spa? Calysta Pro EMR's pricing page describes scheduling, aesthetic charting, consent forms, intake, before-and-after photos, inventory, and reporting for aesthetic practices. The base software is listed at $0 per month. Integrated payments are 2.95% per swipe, tap, or online charge. The FAQ says a practice that uses its own merchant account still gets the other features at no software cost. ## Who is Calysta Pro EMR best for? An aesthetic practice that would rather pay a published processing rate than a per-user EMR subscription, and will price the add-ons separately. ## Pros - The monthly software number is public, including the processing rate that pays for it. - Charting, consents, photos, and scheduling are listed on the $0 base, not a higher tier. - ePrescribe has a published annual price, which a lot of EMRs hide. ## Cons - 2.95% on every integrated payment is the real bill. A busy card volume is not free. - The SMS overage rate and the CRM add-on's usage rate are not printed. - The $399 receptionist bundle is a different product from the $0 chart. QuantifiCare's portable 3D camera systems for aesthetic consults. The price is a quote. ## How much does LifeViz cost? Not listed. QuantifiCare's contact page says they provide a quote on the imaging systems. Neither lifeviz.com nor that contact page printed a system price on October 26, 2026. ## What does LifeViz do for a med spa? LifeViz is QuantifiCare's 3D photography line for face, body, and breast consults. The product pages describe portable cameras with dual beam pointers and a double flash so the distance and the lighting stay consistent, then software that overlays two visits and calculates volume change. LifeViz Infinity Pro's page adds simulation, a before-and-after slider, silhouette overlay, and measurements of angles and circumferences. It is a camera and consult tool, not the booking system. ## Who is LifeViz best for? A med spa that sells filler or body contouring and wants a 3D consult, and will take the hardware price on a quote. ## Pros - The product is the consult photo, which a phone camera roll does not standardize. - Volume comparison is described on the product pages, which is the number patients ask for after filler. - Several camera lines are named, so a face-only room does not have to assume it needs a body system. ## Cons - No public price. This is capital equipment, not a monthly login you can put next to a software sticker. - It does not book the appointment or take the payment. - A doctor's testimonial mentions skin quality. The cells that rendered said Talk to Sales, so this listing does not treat HIPAA as included on a self-serve plan. ## What does Quo do for a med spa? Quo gives the front desk a business number for calls and texts to US and Canadian numbers, plus the Sona AI agent. The pricing page still calls the workspace OpenPhone in places and says to try OpenPhone for 7 days. A HighLevel integration is listed. It is a phone system, not an EMR and not a booking write-back into Boulevard or Zenoti. ## Who is Quo best for? A spa that wants a separate business number and a small AI-call credit without replacing the booking system. ## Pros - The per-user prices, the annual totals, and the Sona credit packs are on one page. - You can cancel in the app. The page says the number stays 60 days after the cycle ends. - A HighLevel integration is named, which matters if leads already live there. ## Cons - It does not write appointments into Boulevard, Mangomint, or an aesthetic chart. - The HIPAA row says Talk to Sales. Do not assume a BAA comes with the $15 plan. - The included Sona credit is 10 calls. A busy phone buys a credit tier on top. ## Sources - [Quo pricing](https://www.quo.com/pricing) Category: AI receptionists and lead response. Listing: https://medspaaihub.com/tools/quo. SMS marketing with a free plan and published credit tiers from $29 a month. Incoming texts are free. It does not book the visit. ## How much does SlickText cost? On slicktext.com/pricing, checked October 27, 2026. There is a free plan, and the page says no credit card is required to start a 14-day trial of the paid features. Paid monthly prices, by credits: $29 for 500, $49 for 1,000, $79 for 2,000, $129 for 3,500, $169 for 5,000, $319 for 10,000, $579 for 25,000, and $939 for 50,000. Enterprise is a quote. Paying yearly includes two free months of credits. One credit is one SMS segment of 160 characters. An MMS uses 3 credits and can be up to 1,600 characters. Eligible nonprofits get 20% off a standard plan. RCS is a $500 one-time setup fee plus a $200 annual maintenance fee. Carrier fees are passed through with no markup. The FAQ says plans starting at $129 include a free 1-on-1 onboarding session, and plans of 50,000 credits and larger include a dedicated customer success manager. The plan cards also print those two lines under smaller plans, so confirm onboarding before you count on the $29 tier. ## What does SlickText do for a med spa? SlickText sends marketing and reminder texts to people who opted in. Med spas use that kind of tool for refill and rebook campaigns when the booking system is weak at SMS. The pricing page says it works in the United States and Canada, incoming texts are free, contacts are unlimited, and unused credits roll over for one billing term. ## Who is SlickText best for? A spa that wants a posted SMS rate card and already has consent, and that does not need the text tool to be the chart. ## Pros - The credit prices are printed, including a free starting plan. - Incoming texts are free, which is the part reminder tools sometimes meter. - Yearly billing is described as two free months, not a hidden percent. ## Cons - This does not replace the book. It texts around whatever scheduler you already have. - The onboarding line on the plan cards and the FAQ do not say the same thing. Read both before you assume the $29 plan includes a setup call. - Carrier fees are extra. The sticker is not the whole text bill. ## Sources - [SlickText pricing](https://www.slicktext.com/pricing) Category: Email and SMS. Listing: https://medspaaihub.com/tools/slicktext. Online forms, e-sign, and a lighter practice-management plan with appointment booking. HIPAA BAA is on the published form plans. It is not a med spa EMR. ## How much does IntakeQ cost? On intakeq.com/pricing, checked October 27, 2026. Forms Only low volume is $29.90 per month for 10 form submissions a month, with a HIPAA BAA, and $10 per additional practitioner. Forms Only is $54.90 per month, with a HIPAA BAA, 2 assistant accounts, and $20 per additional practitioner. Practice Management low volume is $59.90 per month and $25 per additional practitioner. Practice Management is $84.90 per month and $30 per additional practitioner. The practice-management plans list appointment management, reminders, a booking widget, automated intake, a client portal, invoices, recurring payments, claims and superbills, tasks, and telehealth. The page does not print an annual discount or a med spa plan. The headline says risk-free and does not state a trial length. ## What does IntakeQ do for a med spa? IntakeQ collects intake forms, signatures, and notes, and the practice-management plans add a booking widget, reminders, invoices, and telehealth. A med spa can use it for consents and new-patient packets when the chart system is clumsy at forms. It is not charting, photos, and memberships in the sense Boulevard or Aesthetic Record sell them. ## Who is IntakeQ best for? A practice that needs consents and a booking widget with a posted price, and that will keep the real chart somewhere else. ## Pros - Four monthly prices are printed, including the low-volume caps. - The forms plans say a HIPAA BAA is included. - You can see the extra-practitioner fee before you add a second injector. ## Cons - It is not a med spa chart. Photo markup, inventory, and memberships are not the pitch. - The $29.90 plan stops at 10 form submissions a month. - Claims and superbills are listed on the practice-management plans. A cash-pay spa does not need that and still pays for the bundle. ## Sources - [IntakeQ pricing](https://intakeq.com/pricing/) Category: Booking and practice software. Last verified 2026-10-28. Salon booking software with published monthly prices. The site lists skin clinics. The pricing page does not mention HIPAA. ## How much does DaySmart Salon cost? On daysmart.com/salon/pricing, checked October 28, 2026. Basic is $29 per month for 1 user and includes online booking, appointment confirmations, Instagram and Facebook booking, payment processing, and online deposits. Deluxe is $69 per month for 3 users and adds gift cards, digital forms, a client loyalty system, basic payroll, and email marketing. Deluxe Growth is $149 per month and adds text marketing, two-way texting, and reputation management. Premium is $199 per month for 6 users and adds QuickBooks Connect and a larger text and email allotment. The feature table says Deluxe, Deluxe Growth, and Premium charge $9 per month for each user past the included count. Premium Growth says contact for pricing and lists unlimited users. Basic includes 500 texts and 1,000 emails a month. Deluxe and Deluxe Growth include 1,000 texts. Deluxe includes 5,000 emails and Deluxe Growth includes 10,000. The FAQ says a two-week free trial is available for every subscription option, and that Basic support is email and chat while Deluxe and above include phone support. The page does not print a card rate or mention HIPAA. ## What does DaySmart Salon do for a med spa? DaySmart Salon is online booking, reminders, payments, and client marketing for salons. The pricing page's navigation lists skin clinics, solo pros, hair, nails, and barbershops under who it serves. A med spa that still runs like a skin studio can use it for the book. It is not an aesthetic chart. ## Who is DaySmart Salon best for? A skin studio that wants a published salon price and is not trying to run injector charting in the same login. ## Pros - Five plans are on the page, and four of them have a dollar amount. - The extra-user fee is in the feature table, so the third or seventh person is not a surprise. - Digital forms, loyalty, and two-way text are named on specific tiers instead of a demo. ## Cons - The pricing page does not mention HIPAA or a BAA. Do not treat this as a med spa chart. - Payment processing is listed and the card rate is not printed. - Premium Growth, the unlimited-user plan, says contact for pricing. ## Sources - [DaySmart Salon pricing](https://www.daysmart.com/salon/pricing/) Category: Booking and practice software. Reviews, photos, and how people find the spa live here before any paid review tool. ## How much does Google Business Profile cost? Free. Checked October 28, 2026. business.google.com says to stand out with a free Business Profile. The help center says you can manage how the business shows up on Maps and Search at no charge. You need a Google Account, and you have to verify the profile before you can edit it. Business Profiles are for businesses that meet customers in person, including service-area businesses, and not for online-only businesses. Google Ads is a separate product. This listing does not put an ads budget on the profile. ## What does Google Business Profile do for a med spa? Google Business Profile is the listing customers see on Google Search and Maps. You add photos, answer reviews, post updates, and see which searches, calls, and bookings the profile produced. A med spa uses it because a lot of new patients start with a Maps search for the treatment and the neighborhood. It does not book into Boulevard or answer the phone. ## Who is Google Business Profile best for? Every med spa with a location patients can visit, before paying for a review or ads tool. ## Pros - The profile itself is free. The page says so. - Reviews and the reply box are on the profile, which is where patients already look. - Insights cover searches, calls, and bookings without a second analytics login. ## Cons - Verification can stall if someone else already claimed the listing. Google says you can request ownership. - It does not text the missed call or write the appointment into the booking system. - A free profile does not replace the ad spend. Google Ads is a different product and a different bill. ## Sources - [Google Business Profile](https://business.google.com/us/business-profile/) - [Get started with Google Business Profile](https://support.google.com/business/answer/3038063?hl=en) Category: Reviews and reputation. A healthcare credit card offered beside CareCredit. Patient credit lines are published. The practice's merchant fee is not. ## How much does Alphaeon Credit cost? Not listed for the practice. Checked October 28, 2026 on goalphaeoncredit.com. The page says special financing is available for any purchase over $250, with credit lines up to $25,000, and that the card can be used again. Pre-qualification uses a soft inquiry that does not affect the credit score. Minimum payments are required for each credit plan, and offers are subject to credit approval. Accounts are issued by Comenity Capital Bank. Alphaeon Credit, Inc. says it is not the lender. The page does not print a merchant discount rate. ## What does Alphaeon Credit do for a med spa? Alphaeon Credit is a credit card patients use for elective procedures. The public site says it is offered by dentists, dermatologists, ophthalmologists, and plastic surgeons. A med spa that already takes CareCredit or PatientFi sees it as another card the patient may already hold, or one the coordinator can offer at checkout. It does not book the visit. ## Who is Alphaeon Credit best for? A practice whose patients ask for a second healthcare card when CareCredit is declined or already maxed, and that will get the merchant fee in the agreement. ## Pros - The patient-facing limits are public: purchases over $250 and credit lines up to $25,000. - A soft pre-qualification check is described as not affecting the credit score. - It sits next to other financing. It does not replace the card machine. ## Cons - The merchant fee is Not listed. Compare it with a published range, such as Cherry's, only after the agreement. - The site is written for the patient. Practice pricing is not on the homepage. - Promotional financing still needs a sentence the coordinator can say accurately. The page says minimum payments are required. ## Sources - [Alphaeon Credit](https://www.goalphaeoncredit.com/) Category: Payments and memberships. Brandon is the founder of MedSpaAI Hub and the former owner of Avahlee Med Spa, which did $1.7M in revenue in its first 18 months and closed during COVID. Updated 2026-10-21. Brandon's personal profiles: [LinkedIn](https://www.linkedin.com/in/brandonjensen/) and [X](https://x.com/BrandonJens). > **The number that matters** An auto-reply is not a response. Track two clocks: time to any reply, and time to the first message a person sent. Most spas will tell you they 'get back to people quickly.' They are usually talking about the feeling at the front desk, not a timestamp. If you run ads, DMs, or a web form, the timestamp is the business. ## What the aesthetic data actually says Aesthetix CRM published response times for more than 200 aesthetic practices on its platform, sampled from July through September 2026. These are their customers, not a random sample of every med spa in the country. Read them that way. - At the median practice, 79.5% of new leads got some reply within five minutes. That reply was almost always an automation. - The median time to the first message from a person was 12 hours and 13 minutes. - At the median practice, 48.9% of sampled leads had no message from a person within seven days. - The fastest quarter of practices still took about 2 hours and 9 minutes to get a person into the thread. That split is the whole game. The first five minutes are a software problem. The next morning is a staffing problem. Buying an AI receptionist and then letting the handoff die is how you pay for both and book neither. ## The older research, and what it is not Harvard Business Review's write-up of online sales leads found that firms who contacted a lead within an hour were about seven times as likely to qualify that lead as firms who waited another hour. That study is not about med spas. It is about web leads in general, and it is from 2011. It is still the cleanest public argument for answering while the person is on their phone. It is not a promise that your spa will 7x revenue. ## A week you can actually run - Pick one definition of a new lead: a form, a missed call, an Instagram DM, or a Meta lead. Write it down. Don't boil the ocean on day one. - Put every one of those into a single inbox. If the DM lives on someone's personal phone, you do not have a speed-to-lead number. You have a rumor. - Send an immediate reply that does three things: says you got it, answers the logistics question if you know it (price range, whether you offer the service, how to book), and gives a link or a time. Do not diagnose. Do not recommend units. - Missed calls get a text within a minute. Most people who hit voicemail do not leave one. The text is the lead. - Name an owner for every lead before lunch and before close. 'The front desk' is not a name. A person with a clock is. - During open hours, the human target is a few minutes, not end of day. After close, the target is the first hour of the next morning, not 'when we get to it.' - Once a week, look at the two clocks. If the auto-reply is fast and the human reply is half a day, the next purchase is not another chatbot. It is a person, a script, and a calendar block. ## What not to automate Price ranges and 'do you offer lip filler' are fair game if they match the menu you would say out loud. 'Are you a candidate,' dosing, and anything that sounds like a complication are not. Those go to a person, and a post-treatment scare goes to the provider, not a nurture sequence. Turn the marketing off for that contact until a human clears it. Replying to someone who just contacted you is not the same thing as a promo blast at 9pm. The first one is the job. The second one has rules. Those rules are in the SMS playbook. ## Sources - [Aesthetix CRM, speed-to-lead data from 200+ aesthetic practices, July–September 2026](https://aesthetixcrm.com/speed-to-lead-aesthetic-practices/) - [Harvard Business Review, The Short Life of Online Sales Leads (2011)](https://hbr.org/2011/03/the-short-life-of-online-sales-leads) # Getting more Google reviews without getting the profile banned > Who to ask, when to ask, and the incentives that are not worth a free syringe. > **Not a med spa study** The percentages below are from BrightLocal's 2026 consumer survey of local-business reviews. They are not a med spa panel. They are still the reason the front desk should ask. A Google review is not a marketing campaign. It is a three-sentence note a future patient reads while sitting in a car outside two other spas. If you have a handful of reviews from 2022, you look closed, even if the book is full. ## What consumers told BrightLocal in 2026 - 97% of consumers read reviews for local businesses. - 47% will not use a business with fewer than 20 reviews. - 74% only care about reviews written in the last three months. - 31% will only use a business with 4.5 stars or higher. - Google was still the place 71% looked, down from 83% the year before. It is not the only place, and it is still the first one. The practical reading: twenty recent reviews beat two hundred old ones, and a 4.9 with three reviews does not beat a 4.7 with forty. Recency is the part spas ignore because the ask feels awkward. ## The ask - Ask at checkout, while they are still in the room, not three days later in a blast to the whole database. - Put a QR code on the checkout card that opens your Google review link and nothing else. If the link has six steps, they will not finish. - One sentence is enough: 'If you have thirty seconds, a Google review helps the next person find us.' Then stop talking. - Ask people who completed a visit. Do not ask only the ones who hugged you. A profile of nothing but perfect reviews reads as fake, and selective asking is how businesses get in trouble with Google. - Do not ask someone who just reported a complication, a bruise they are scared of, or a result they are unhappy with. Fix that first. A review request on top of a problem is how you earn a one-star essay. ## What not to offer Do not offer a discount, a free unit, a gift card, or an entry in a drawing in exchange for a review. Google's contribution policy bans incentivized reviews. A free lip flip is not clever. It is how you lose the profile you were trying to grow. Read the current policy before you let a marketer 'boost' reviews. It changes, and the penalty is the listing. ## Reply to the bad ones BrightLocal's same survey found that a slow or generic reply now reads as a red flag. Reply to every review, including the good ones, in a normal voice. On a bad review: thank them, say you want to fix it, and move the medical detail offline. Do not argue about units in public. Do not name the treatment they had if they didn't. A short, specific reply from the owner beats a paragraph from 'the team.' If you want software for this, Weave, Podium, and Birdeye are in the directory. Several booking systems also send the ask. Software does not help if nobody owns the reply. ## Sources - [BrightLocal, Local Consumer Review Survey (2026)](https://www.brightlocal.com/research/local-consumer-review-survey/) - [Google, Prohibited and restricted content (includes incentivized reviews)](https://support.google.com/contributionpolicy/answer/7400114?hl=en) # Rebooking neuromodulator clients around 90 days > Book the next visit before they leave, then send one useful reminder. Don't discount your regulars into a habit. > **Not dosing advice** This is a front-desk cadence. It is not a recommendation about product, units, or who is a candidate. Your injector sets the interval. Daxxify is often longer than the older neuromodulators. Use the interval you actually believe, not a slogan. The American Society of Plastic Surgeons puts the average cost of botulinum toxin injections at $435. That is an average across surgeons' reported costs, not your menu, and it moves with how many areas someone treats. ASPS also counted 9,883,711 neuromodulator procedures in 2024. The point for an owner is simpler than the statistic: this is a repeating visit, and the practice that already has the relationship should be the one who gets the next one. ## Book it in the room The rebook that works is the one made before they put their jacket on. 'You're due again around the week of the 14th. I can hold Thursday at 2 or Friday at 11.' A text six weeks later is a backup, not the system. - At checkout, put the next visit on the book about 90 days out, or whatever interval that injector uses for that person. Write the date on the card. - Take the after photo the same way you took the before. Same light, same angle. The photo is why they come back, and it belongs in the chart, not in a group text. - If they will not book, get permission to text them when the window opens. That permission is for this reminder, not a blank check to market forever. The SMS playbook covers the difference. - About two weeks before the date, send one text: the date you discussed, a link to move it, and nothing cute. One message. If they don't answer, one follow-up. Then stop. - The day before, the normal appointment reminder from your booking system is enough. Don't stack a 'we miss you' campaign on top of a confirmation. ## Don't train them to wait for a sale A standing 20% off for anyone who lapsed is how you teach regulars to lapse. If you discount, make it a reason (a new provider building a book, a weekday you can't fill) and an end date. The $435 average is not your price, but it is a reminder that one kept visit is worth more than a clever code. ## Who should not get the nudge - Anyone with an open complaint or a complication. Marketing stays off until the provider says otherwise. - Anyone who asked you to stop, in any wording that a reasonable person would hear as stop. - Anyone whose last visit was a one-time event they told you they would not repeat. Read the note. If the booking system can do this with a recall message, use it. Boulevard, Mangomint, Aesthetic Record, and Jane all have some version of reminders or memberships. A separate texting tool is for when that message is too dumb to send. Check the directory before you add another bill. ## Sources - [ASPS, average cost of botulinum toxin injections ($435)](https://www.plasticsurgery.org/cosmetic-procedures/botulinum-toxin/cost) - [ASPS press release, 2024 statistics: 9,883,711 neuromodulator injections](https://www.plasticsurgery.org/news/press-releases/interest-in-aesthetic-health-remained-consistent-despite-economic-uncertainty-in-2024-according-to-new-report-from-american-society-of-plastic-surgeons) # A Meta lead-ad setup a front desk can actually work > Fewer fields, a consent line that means something, and a person who owns the lead before the ad even runs. > **No cost-per-lead promise** Med spa cost-per-lead numbers float around Facebook groups. They are not a benchmark. Your number depends on the city, the offer, and whether anyone answers. This is the setup, not a forecast. A lead ad that dumps into an email nobody checks is a donation to Meta. Across the aesthetic practices in Aesthetix's 2026 sample, the median human reply took 12 hours and 13 minutes, and about half of leads heard from no person within a week. If that is you, fix the reply before you raise the budget. ## Build the form like a front desk, not like a quiz - Use an instant form. The higher-intent version (a review step before submit) cuts the people who tapped by accident. You will get fewer leads. That is the point. - Ask for name, phone, and which service they want. Three fields. A medical history on a Facebook form is how you collect health information you are not set up to store. - If you will text them anything beyond the reply to this inquiry, the form needs its own unchecked box for that, in plain language: who is texting, that it is marketing, and that they can stop. A pre-checked box is not consent you want to defend. - The thank-you screen should be the booking link or a sentence that says a person will text within a few minutes during open hours. Don't send them to the homepage. - Send the lead into the same inbox as the web form and the DMs. A CSV you download on Monday is how Friday's lead books somewhere else. ## The ad itself - One service per ad. 'Botox consult' and 'laser hair removal' do not share a form, a price, or a follow-up. - Say the starting price if you would say it on the phone. Hiding it to juice the form fills the book with people who leave when they hear the number. - Before-and-after photos need consent from that patient for advertising, not just for the chart. If you don't have it in writing, don't use the photo. - Turn off the ad on days you cannot answer. A Saturday lead with a Monday reply is a different product than the one you think you bought. ## The first hour The first message is from the spa, not from 'a bot named Ava' unless you are willing to say it is automated. Tell them you saw the request, name the service, give the price range or the booking link, and ask which day works. If they reply with a clinical question, a person takes it. Harvard Business Review's lead research is the reason for the hurry: contact within an hour qualified far more often than contact an hour later. Your spa is not that study. The direction still applies. ManyChat can catch the comment and the DM. GoHighLevel, Aesthetix, or the CRM you already pay for should catch the lead form. Meta Ads Manager itself has no monthly fee. You pay for the delivery. The expensive part is the lead you don't call. ## Sources - [Aesthetix CRM, speed-to-lead benchmarks, July–September 2026](https://aesthetixcrm.com/speed-to-lead-aesthetic-practices/) - [Harvard Business Review, The Short Life of Online Sales Leads (2011)](https://hbr.org/2011/03/the-short-life-of-online-sales-leads) - [Meta ads (the tool is free; you pay media spend)](https://www.facebook.com/business/ads) # SMS compliance basics: TCPA and A2P 10DLC > What you can text because someone asked, what needs written consent, and why unregistered texts die quietly. > **This is not legal advice** It is an operator's checklist with the public sources under it. A healthcare or telecom lawyer should read your actual consent language, especially if you bill insurance or text anything clinical. Rules move. Two different jobs get mashed together under 'texting.' Replying to someone who just called, filled out a form, or DM'd you is one job. Sending a promo, a flash sale, or a 'we miss you' blast is another. The first is how you book the consult. The second is regulated marketing. Mixing them up is how a useful tool becomes a complaint. ## Marketing texts need written consent If the text is an ad, get prior express written consent before you send it. That means a clear, unchecked box or a keyword they text on purpose, naming your spa, saying you will send marketing texts, and saying they can opt out. Consent for a Botox reminder is not consent for a laser sale next month if you wrote it that narrowly. Write what you will actually send. The FCC's tighter 'one-to-one consent' rule did not stick. In July 2025 the Commission removed the version of the rule a court had nullified and put the prior written-consent definition back. You still need written consent for marketing autodialed or prerecorded calls and texts. You do not get to skip consent because a headline said the new rule died. Read the FCC's consumer-policy note and have counsel confirm what applies to your campaign. ## Replying is not a campaign - Someone submits a lead form or misses a call: a single informational reply about that inquiry is the response. Keep it about the thing they asked. - Do not bolt a promo onto that first text. 'We got your Botox question, and also 20% off filler this weekend' is how a reply becomes an ad. - If they reply STOP, or 'unsubscribe,' or 'leave me alone,' you stop. All of it. Don't argue and don't wait for the next business day. - Federal quiet hours for telemarketing are generally 8 a.m. to 9 p.m. in the recipient's time zone. Some states are tighter. Campaigns go inside that window. A reply to a message they just sent is a different posture. When you are unsure, wait until morning. ## AI voices are still 'artificial voices' In February 2024 the FCC confirmed that AI technologies that generate a human voice count as an artificial voice under the TCPA. Outbound calls that use that voice need the same consent as a prerecorded call, unless an exception applies. Answering your own inbound line is not the same thing as dialing a list with an AI. Do not let a vendor turn on outbound AI calling to old leads because the demo was impressive. No outbound AI voice without the consent the rule describes. ## A2P 10DLC, in plain language US carriers require businesses texting from local 10-digit numbers to register a brand and a campaign. This is called A2P 10DLC. Unregistered traffic gets filtered or blocked, which looks like 'the texts randomly stopped' and is actually the carrier. Register before you turn marketing texts on. Voice can go live while you wait. Approval is often a week or two and is not something you can rush the day of a sale. - Register the spa, not your agency's brand, if the spa is the sender patients will recognize. - The sample messages in the registration should match what you really send. A campaign registered as 'appointment reminders' that then sends promo blasts is how you get suspended. - Twilio's A2P quickstart is the clearest public walkthrough of the steps. The fees are on Twilio's fee pages and they change. Don't budget from a number you saw in a group chat. Confirm the current brand, vetting, and monthly campaign fees before you file. - Ignitara and some other front-desk vendors say they file this for you.
